To manage the procurement of medicines, medical supplies, equipment, and general goods required by the hospital, ensuring adequate stock, cost efficiency, compliance, smooth supply chain operations, and effective team coordination to meet operational deadlines.
Key Responsibilities
1. Procurement & Sourcing
Collect and consolidate purchase requests from various departments.
Conduct supplier sourcing, quotation comparison, and price negotiations.
Maintain and update supplier database, establish long-term vendor relationships.
2. Inventory Management
Monitor inventory levels of drugs, consumables, and equipment to prevent shortages or overstock.
Assist in periodic stocktaking and prepare inventory reports.
3. Order & Delivery Management
Issue purchase orders and track delivery progress.
Coordinate with suppliers to ensure timely delivery and correct specifications, and proactively escalate or resolve issues to prevent disruption to hospital operations.
Handle product returns, replacements, and after-sales service.
4. Compliance & Documentation
Ensure all procurement processes comply with medical and regulatory requirement

Maintain complete records of purchase orders, contracts, and supplier information.
5. Cross-Department Coordination
Communicate with medical, lab, pharmacy, and administrative teams to confirm requirements.
Support the introduction of new equipment, consumables, and training needs.
6. Team Leadership
Manage, guide, and motivate the procurement team, resolving issues proactively to avoid delays and maintain service continuity.
Provide clear direction and leadership to pharmacy staff, ensuring tasks are delegated effectively and progress is monitored.
Qualifications
Diploma or degree in Business Administration, Supply Chain Management, Healthcare Management, or a related field.
Minimum of 1-2 years of experience in procurement or related roles, preferably in the healthcare or veterinary industry.
Knowledge of procurement workflows, vendor relationship management, and inventory systems.
Detail-oriented, organized, with good negotiation, supplier management, and team leadership skills.
Proven ability to meet deadlines and manage multiple priorities under pressure.
Strong communication and teamwork abilities.
Proficiency in English (other languages an advantage).
