SENIORITY LEVEL: Non management

FUNCTION: Procurement

SALARY RANGE: Market salary + Excellent benefits + Market leading bonus

LOCATION: Kuala Lumpur, Selangor

ROLE POSITIONING AND OBJECTIVES

The Sourcing Executive will be supporting the operational delivery of the procurement processes operated by DBS while maintaining strong stakeholder relationship with End Market Procurement teams and Business

Reports to: Sourcing Manager

WHAT YOU WILL BE ACCOUNTABLE FOR

Operational * Analyse External Supply Market

  • To work alongside with End Market to find potential suppliers or analyse the supply market
  • To understand supply and market trends, as well as a view on the dynamics and changes in the market in the medium term.
  • To have in depth understanding of supply industry trends as well as the levers and drivers of cost in the relevant industry.
  • To conduct analysis to capture any insight that can be drawn from the spend category with regards to how BAT is engaging and leveraging suppliers.
  • Implement Strategic Sourcing
  • Assist to develop, deploy and manage the communications with the supply market in accordance with the approach identified in the sourcing strategy.
  • To utilise various sourcing events, subsequent selection process and negotiations with the objective of arriving at the best achievable result, based on agreed stakeholder requirements.
  • Execute Tactical Sourcing
  • Initiate sourcing project \xe2\x80\x93
  • To assist in the initiation of a sourcing project. It involves understanding and documenting the addressable spend, the initial savings estimate, the Sourcing Delivery Channel, the Governance required and the Sourcing Process Type.
  • To identify initial opportunities and link to where appropriate to the Category Strategy.
  • Once the project team is formed, to input the necessary information and documentation into the Procurement System, ensuring key stakeholders are aligned.
  • Conduct Analyses and Develop Sourcing Strategy \xe2\x80\x93
  • To conduct internal analysis, including spend analysis and gathering detailed business requirements to obtain detailed knowledge of the products or services to be sourced.
  • To perform market analysis to gain an appropriate level of understanding of the supply market, this enables the selection of the most appropriate suppliers that can satisfy the business need.
  • To assist creation of a Sourcing Strategy based on the data and information from the analyses, which identifies the most appropriate tactics and techniques to unlock the value of the identified opportunities and benefits.
  • Execute Sourcing Strategy \xe2\x80\x93
  • To support End Market to develop, deploy and manage the communications with the supply market in accordance with the approach identified in the sourcing strategy.
  • Implement Sourcing Decisions \xe2\x80\x93
  • To support End Market to ensure that all necessary closure activities are carried out to finalise the initiative and deliver the benefits.
  • Supplier Management
  • Supplier Due Diligence (SDD) \xe2\x80\x93
  • To ensure that the Sourcing Project Owner (SPO) carries out all the relevant supplier due diligence checks required as part of a sourcing event prior to awarding the business to the supplier.
  • Manage supplier performance \xe2\x80\x93
  • Tracking of KPI\xe2\x80\x99s.
  • Review and Update Supplier Management Plan \xe2\x80\x93
  • To assist End Market with review and update of supplier management plans where possible surrounding mainly the review/refresh of KPIs and performance reporting.
  • Business Planning
  • Update procurement plan \xe2\x80\x93
  • To work with End Market to update the procurement plan via creating/cascading the line of sight and the creation of personal objectives. Inputs to this process include the procurement strategy, supply plan and business objectives.
  • To update the global and regional/sub procurement plans.
  • To communicate the plan then carefully managed and monitored.
  • Update procurement standards/policies \xe2\x80\x93
  • To work with End Market to update procurement policies and global standards then communicating the outputs globally, regionally and locally.
  • Procurement Standards & Policies within regions / end markets is executed through a number of channels (e.g. staff induction, face to face communications, e-mail communications and interact).
  • Manage procurement performance \xe2\x80\x93
  • To track procurement performance against targets including global KPIs, benefits forecast and the annual procurement plan.
  • Outcome to be reported quarterly in Global Procurement and as required at the local level.
  • To highlight performance gaps and actions agreed to drive improvement in these areas (both under performance and performance improvement opportunities).
  • Data Updates/Performance Tracking
  • Deck Preparation/Meeting Mgt \xe2\x80\x93
  • Any reports from the systems to be extracted and feed for any meeting to show the status etc. Meeting minutes to be kept and published, followed up and closed, etc.
  • COUPA / iCertis \xe2\x80\x93
  • Coupa reports to be extracted, communicated, actions to be followed up such as data cleansing etc.
  • WAPT \xe2\x80\x93
  • WAPT reports to be extracted, communicated, actions to be followed up such as data cleansing etc.
Management
  • Support to drive alignment of innovation initiatives across the region
  • Support operational delivery of the end-to-end process, while creating alignment and consistency across process and across markets
  • Support and provide appropriate challenge to the SLA definition and agreement process and drive achievement of SLAs Support
  • Continuously monitor and evaluate organizational efficiency with the support of IT- systems, data and analysis and team feedback, and make appropriate changes in order to meet business needs
Relationship
  • Engage & Maintain stakeholder expectations towards achieving business needs
  • Engage with the end market procurement team to meet objectives
  • Support Operations Support Continuous improvement initiatives
Innovation
  • Support governance and compliance of the services provided against DBS frameworks, as well as ensuring compliance to local data privacy, security and internal controls regulations for the markets served
  • Support proactive continuous improvement activities supporting the Process Owner and Delivery Excellence team
  • Ensure proper delivery against all local and global KPIs.
ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE
  • Strong leadership & communication skills
  • Able to manage multiple end markets demand i.e Australia,Malaysia,South Pacific & etc.
  • Builds partnership with stakeholders
  • Manage pressure well
  • Build credibility within procurement domain
  • Understanding of Source to Settle process
  • Strong communication, people management and change management skills as well as ability to manage relationships professionally
  • Experience of working with culturally diverse teams
  • Ability to work in a fast paced environment with different international cultures
  • Fluent Mandarin & English (verbal and written)
  • Minimum Qualifications: At least a Diploma/Degree with focus on related areas, or equivalent combination of education and experience
  • Minimum of 4 years of progressive work experience in the operational delivery of these services, ideally in a shared service center, with leadership experience in an organisation of similar scale and complexity of services
