The Project Administrator supports the renovation team in planning, coordinating, and executing special projects across F&B outlets. This role ensures smooth project administration, timely documentation, and effective communication between stakeholders to deliver renovation and improvement projects efficiently.
Job Requirements
Diploma or Bachelor's degree in Project Management, Business Administration, Facilities Management, or a related field.
2-4 years of experience in project coordination or administration, preferably in
F&B, retail, or construction/renovation projects
.
Strong organizational, multitasking, and communication skills.
Proficient in Microsoft Office (Word, Excel, PowerPoint) and project management tools.
Detail-oriented, proactive, and able to work under tight deadlines.
Knowledge of basic renovation processes, construction documentation, or regulatory requirements is a plus.
Key Responsibilities
Project Coordination & Administration
Assist the renovation team in coordinating special projects, including outlet renovations, refurbishments, and expansion works.
Prepare and maintain project schedules, timelines, and progress reports.
Track project milestones, deliverables, and ensure deadlines are met.
Maintain project documentation including contracts, drawings, permits, and approvals.
Stakeholder Communication
Liaise with internal teams (Operations, Procurement, Finance) and external vendors or contractors.
Schedule and document meetings, site visits, and inspections.
Provide timely updates on project status to management and relevant teams.
Budget & Resource Support
Support project budget tracking and monitor expenses.
Assist in procurement of materials, equipment, and services for renovation projects.
Ensure invoices and purchase orders are properly recorded and approved.
Compliance & Safety
Ensure projects comply with safety, regulatory, and company standards.
Assist in obtaining necessary permits, approvals, and documentation.
Support site inspections and follow-up on corrective actions if required.
Reporting & Documentation
Prepare project reports, presentations, and dashboards for management review.
Maintain organized records of all project-related correspondence and approvals.
Support post-project review and documentation for lessons learned.
Other Duties
Perform any administrative tasks required to support the renovation team and special projects.

Pay: RM1,800.00 - RM2,800.00 per month
