The opportunity

As Project Admin, you will be a part of our project team to support the administrative task in HR and Finance area.

Your key responsibilities

Onboarding

  • Assist to calculate and to maintain budget and project financials
  • To gather and validate hiring request from project team i.e., project information and skillset requirements, role, resource contract durations and man-days.
  • To arrange interview for the shortlisted candidates. Follow up with interview panel on the interview result and update the onboarding status.
  • To gather and help prepare all the pre-onboarding documents and ensure that the candidates go through the on-boarding process including necessary training.
  • To validate Engagement Order/Purchase Order received from the Client.
Operational
  • To monitor manpower contract utilization and prepare consolidated monthly report of hiring forecast.
  • To remind hiring team if the resource's contract end date is near the due date.
  • To manage and raise invoice to the Client upon completion of timesheet validation.
  • To manage and raise Credit Note if any.
  • Follow up with clients if there is any missing PO creation or discrepancies from the system
  • To facilitate resource early release or/and exit checklist process completion, validate exit confirmation letter from the Client system.
  • To collect all the timesheet from GDS, EY and vendors/sub-contractor; and reconcile the time-entry from GDS & EY (Mercury) against the timesheet. Inform the resources to fix the entry if there is any discrepancies.
  • Assist in the performance evaluation process
  • Other administrative and operational tasks required for the business
To qualify for the role, you must have
  • Minimum 2 years' relevant experience
  • At least a Diploma Degree in relevant field
  • Proficiency in Microsoft Office
  • Excellent verbal, written, and interpersonal communication skills
