To perform work as instructed from immediate superior or his assigned personnel.
Ensure all project operational documentation requirements are prepared in approved document control system, submitted and resolved within the time frame as defined by Project Client specifications, including but not limited to project document control specific to projects requirements and project office administration
Ensure that all related enquiries, requests and complaints raised are resolved promptly and satisfactorily in order to secure planned outputs accordingly for projects for effective projects documentation control;
Responsible to attend to project site as an when needed and requested by Project Client or Project Management Office.
Ensure all administrative and accounting, inclusive of project accounts and petty cash updating and management at relevant project site are maintained and documents retained accordingly
Accountable for all project safety induction related matters are implemented, documented and resolved within the time frame as defined in the relevant procedures and business rules of the Company and Client.
Ensure that all project enquiries, requests and complaints raised are planned and implemented according to the established work procedures and Standard Operating Procedures.
Accountable for the project inventory database is promptly recorded and maintained in a satisfactory manner by the project team in order to secure planned outputs and achieve the project key performance index (KPI) accordingly for project materials inventory management.
Monitor and review information and data on projects to ensure compliance with procedures and work standards to effectively address the Company\'s Quality Management System requirements.
Prepare ad-hoc reports to management highlighting relevant issues where and when deemed necessary.
Assist management in monitoring and analysis of project operational matters and other related issues in ensuring Clients\' response in a timely and coordinated manner.
Assist the Project Director\'s Office in monitoring and review of operational and related issues in ensuring Client feedback for continual improvement
Ensure effective establishment implementation, maintenance and continual improvement of the ISO9001 Quality Management System of the Company.
Represent the Company at any event as and when instructed upon by the management.
Timely identification and compliance to all internal and external risk arising within the Company\'s business that is related to your scope of work.
Protect items and products under your custody from damage and deterioration and securing such items storage from pilferage, theft and fire at all times.
That you will not divulge any information concerning the company of their dealing, transactions of affairs which may come to your knowledge during or in the course of your employment and thereafter with the Company.
Perform any other duties and responsibilities that may be assigned to you by the management from time to time, within your category of employment in the Company.
Requirements:
Minimum Degree or Diploma in a technical or administrative field
Experience in administrative and projects related work
Ability to work independently with minimum supervision
Strong MS Office skills and competency, preferably in Project Management
Must have management skills in managing internal and external stakeholders.
Able to communicate in English and Bahasa Melayu
Must be conversant with document control work, preferably such as Oracle ACONEX or Document Management Control System (DMCS)
