Project Document Cum Cost Controller

Job Description

Job Responsibilities:



Establish and maintain a comprehensive document control system for all project documents, including technical drawings, correspondence, specifications, contracts, and reports. Ensure proper document numbering, filing, distribution, and retrieval according to company standards. Manage document transmittals to and from clients, contractors, and internal departments. Track document revisions, approvals, and version control to maintain up-to-date project records. Ensure confidentiality, data accuracy, and compliance with ISO and company documentation standards. Support project audits by providing required documentation and records in a timely manner. Liaise with project engineers, procurement, and quality teams to ensure documentation consistency and accuracy. Maintain a document register, track due dates, and ensure timely submission of deliverables. Assist in the preparation and monitoring of project budgets, cost estimates, and forecasts. Track and record all project-related expenditures, invoices, and cost commitments. Prepare monthly cost reports and variance analyses for management review. Monitor material, equipment, and manpower costs against budgeted values. Identify potential cost overruns and report deviations with corrective action recommendations. Support procurement and finance teams with purchase requisitions, purchase orders, and invoice verification. Maintain cost coding structures aligned with project work breakdown structures (WBS). Participate in project review meetings and provide cost performance updates. Support financial audits and ensure cost documentation integrity. Coordinate with Project Managers, Engineers, and other departments to ensure cost and document control objectives are met. Generate project progress and cost performance reports for management and clients. Ensure timely and accurate submission of reports, logs, and cost summaries. Provide administrative and logistical support for project control activities.

Job Requirements:



Diploma or Bachelor's degree in business administration, Project Management, Finance, Engineering, or a related field. Minimum 3-5 years of experience in document control and cost management within engineering, construction, or oil & gas projects. Excellent organizational, analytical, and problem-solving skills. Strong communication and coordination abilities across departments. High attention to detail and accuracy. Proficiency in MS Office (Excel, Word, PowerPoint). Knowledge of ISO 9001, project management standards, and QHSSE requirements is an advantage. Ability to multitask and manage priorities under tight deadlines.

Pay: RM4,500.00 per month
