The Project Executive plays a key role in supporting project execution, particularly in coordinating training programs under various initiatives. This role involves tracking participant enrolments, managing communications, and maintaining accurate records using Excel and other Microsoft 365 tools. The ideal candidate is detail-oriented, proactive, and comfortable engaging with stakeholders and participants.
Key Responsibilities:
1. Participant Coordination & Tracking
Track participant enrolments, attendance, and completion status using Excel and project databases.
Make follow-up calls and send reminders to participants regarding training schedules and requirements.
Maintain accurate and up-to-date records of participant data and feedback.
2. Project Administration
Document and follow up on key actions and decisions from meetings.
Ensure project timelines and deliverables are met.
Support project changes and updates as directed by the project lead.
3. Stakeholder Engagement
Liaise with internal teams, external partners, and training participants to ensure smooth coordination.
Respond to queries and provide support to stakeholders throughout the project lifecycle.
Ensure stakeholder views are considered and managed toward effective solutions.
4. Reporting & Documentation
Use Excel to generate reports, dashboards, and summaries for project tracking and performance.
Maintain project documentation, including enrolment forms, attendance sheets, and feedback logs.
Assist in preparing presentations and updates for internal reviews.
5. General Support
Provide administrative support for project events, training sessions, and logistics.
Undertake ad hoc tasks as required to support project success.
Requirements:
Bachelor's degree in Business Administration, Communications, or a related field.
Minimum 1 year of experience in project coordination, administration, or training support.
Intermediate proficiency in Microsoft Excel (e.g., formulas, tables, basic charts, data validation).
Strong verbal and written communication skills in English and Bahasa Melayu.
Experience using Microsoft 365 tools (Word, Excel, Outlook, Teams, PowerPoint).
Ability to work independently and collaboratively in a fast-paced environment.
Comfortable engaging with diverse stakeholders and participants.
