Project Manager (renovation & Facilities)

Petaling Jaya, M10, MY, Malaysia

Job Description

About the Role

We are looking for a

Project Manager (Renovation & Facilities)

to lead and oversee renovation, refurbishment, and dismantling projects for our company's headquarters and retail outlets. The ideal candidate will be responsible for ensuring that every project is completed on time, within budget, and up to quality standards.

You will play a key role in project planning, contractor coordination, tender and cost management, and ensuring all works comply with safety, regulatory, and company requirements. This role suits someone who is highly organized, hands-on at site, and able to communicate effectively across all levels to deliver successful renovation outcomes from start to handover.

Job Responsibilities

Plan, manage, and supervise all renovation, refurbishment, and dismantling projects for the company's HQ and retail outlets. Prepare project scopes, cost estimates, work schedules, and tender documentation for management review and approval. Manage the entire project lifecycle -- from planning and design coordination to execution, handover, and post-renovation defect management. Coordinate with internal stakeholders, designers, architects, consultants, contractors, and suppliers to ensure all project requirements are met. Manage tendering and pre-qualification (PQ) processes, evaluate quotations, and recommend suitable contractors based on technical and commercial evaluation. Negotiate with contractors and vendors to achieve cost efficiency while maintaining quality standards. Monitor site activities, ensure compliance with approved plans, and verify work progress against timelines and milestones. Conduct regular site inspections for quality assurance, workmanship, and adherence to safety regulations and local authority requirements. Perform defect inspections, coordinate rectification works, and ensure proper project closure and handover documentation. Track and control project costs, review variation orders, and ensure spending aligns with approved budgets. Identify potential risks and implement corrective measures to prevent project delays or cost overruns. Resolve site-related problems, manage changes, and handle issues or conflicts arising during project execution. Liaise with internal departments to ensure smooth coordination and minimal disruption to business operations during renovation works. Prepare and present project progress reports, cost summaries, and updates to management and key stakeholders. Stay updated with construction and renovation trends, materials, and regulations to improve project performance and efficiency. Perform other ad-hoc duties as assigned by the superior or management, in line with project and organizational objectives.

Job Requirements

Diploma or Degree in Architecture, Interior Design, Project / Construction Management, Facilities Management, or Business Administration. Minimum 5 years of relevant experience in renovation, interior fit-out, or retail outlet project management. Strong understanding of construction processes, tendering, and cost evaluation. Ability to read and interpret technical drawings, floor plans, and design specifications accurately. Excellent leadership, coordination, and problem-solving skills. Strong communication, negotiation, and interpersonal abilities. Attention to detail and familiarity with local building codes, safety standards, and regulatory requirements. High level of professional integrity and commitment to ethical business practices -- ensuring all dealings with contractors and vendors are transparent and in compliance with company policies. Able to work independently, manage multiple projects, and meet deadlines. Willing to travel to project sites and retail outlets as required.
