Requirements
  • Bachelor's Degree in Business Administration, Management, or related field.
  • Minimum 1-3 years of experience in support or inbound customer service
  • Ability to speak mandarin is an added advantage
  • Strong organizational, planning, coordination and decision making skills
  • Attention to details
  • Don't mind being on call at night
  • Tech-savvy with proficiency in MS Office, Google Workspace, and productivity tools.
Responsibilities
  • Lead, mentor, and supervise the Project Admin, Support Admin and Warehouse teams to ensure high performance, efficiency, and professionalism.
  • Plan manpower allocation, job assignments, and leave coverage to ensure uninterrupted support for ongoing projects and client requirements.
  • Oversee the entire project administration workflow, ensuring all documentation, purchasing, and invoicing activities meet accuracy, quality, and timeline standards.
  • Review and approve all Sales Orders (SO), Purchase Orders (PO), quotations, service reports, and invoices before submission to management or Finance.
  • Ensure all project documentation and records are properly filed, traceable, and audit-ready.
  • Monitor job progress, delivery readiness, and billing status through regular report reviews, without engaging in direct administrative tasks.
  • Resolve escalated issues from the admin team, suppliers, or clients promptly and professionally.
  • Coordinate with key departments (Sales, Project, Finance, Warehouse) to ensure alignment of schedules, documentation flow, and client commitments.
  • Assist and backup with team members go on leave.
  • Take a turn in the on-call night shift to support the Cabling team who are onsite.
  • Act as the primary liaison for major clients on project administration matters, service escalations, and billing follow-ups.
  • Review and approve client communications, quotations, and invoices prior to release.
  • Ensure client feedback and complaints are handled promptly, maintaining high customer satisfaction.
