Job Summary:
The Property Administrator is responsible for providing administrative support in the day-to-day operations of property and facilities management. This role ensures the smooth functioning of property-related processes including tenant coordination, vendor communication, documentation, and general office administration.
Key Responsibilities:
Assist in the preparation and maintenance of property records, reports, and documentation
Coordinate with tenants on tenancy matters, complaints, and maintenance requests.
Liaise with vendors and contractors for property maintenance, repairs, and services.
Monitor and update service contracts, tenancy agreements, and other property-related documents.
Prepare purchase requisitions, service orders, and payment claims for property-related expenses.
Support the Property Manager in scheduling inspections, maintenance, and other operational tasks.
Maintain proper filing systems (digital and physical) for all property-related correspondence and documentation.
Assist in budget tracking, cost monitoring, and reporting as required.
Ensure compliance with building regulations, safety, and environmental standards.
Perform general administrative duties including answering calls, managing emails, and attending meetings when required.
Requirements:
Diploma or Degree in Property Management, Real Estate, Business Administration, or a related field.
Proven experience in administrative roles, preferably in property or facilities management.
Strong organizational and multitasking skills.
Proficient in Microsoft Office (Word, Excel, PowerPoint).
Good written and verbal communication skills in English and Bahasa Malaysia.
Able to work independently and collaboratively in a team environment.
Additional Skills (Preferred):
Familiarity with property management systems or software.
Basic understanding of tenancy laws and building maintenance.
Customer service-oriented with a professional demeanor.
