Purchasing Admin Assistant

Job Description

1. Assist in the preparation, issuance, and tracking of Purchase Orders (POs) for goods and services.

2. Conduct

invoice verification

to ensure accuracy between supplier invoices, purchase orders, and delivery documents before submission for payment.

3.

Monitor stock levels

and identify purchasing needs.

4.

Research potential vendors

and obtain quotations for price comparison.

5.

Track orders

and ensure timely delivery of goods and services.

6.

Update internal databases

with order details (dates, vendors, quantities, discounts).

7.

Evaluate offers

from vendors and negotiate for better prices and terms.

8.

Prepare cost analyses

to support procurement decisions.

9. Maintain

updated records

of invoices, purchase orders, and contracts.

10.

Follow up with suppliers

, as needed, to confirm or amend orders.

11. Coordinate with internal departments to resolve any discrepancies in orders, deliveries, or invoicing.

12. Support the Corporate Services Unit in

procurement and administrative functions

as required.

Qualifications



1. Minimum SPM/ with 4 years experience in purchasing function

2. Diploma in Business Administration, Marketing, Accounting, or related field with 2 years experience in purchasing function.

3. Proficient in

Microsoft Office applications

(Word, Excel, Outlook) especially Excel.

4. Experience with

invoice verification

or basic accounting will be an advantage.

5. Good command of

English and Bahasa Malaysia

, both written and spoken.

Job Type: Temporary

Pay: RM1,700.00 - RM2,200.00 per month

Work Location: In person
