Prepare and process purchase orders for recurring replenishment of products based on sales trends and stock levels.
Communicate and negotiate with suppliers regarding orders, delivery schedules, stock shortages, and product quality issues.
Monitor and resolve stock delivery discrepancies including short shipments, damages, or incorrect items.
Understand the needs of each retail outlet by maintaining regular communication with store managers and retail staff.
Perform stock adjustments in the system for balance discrepancies after investigation and approval.
Ensure sufficient stock availability at outlets to support sales demand without overstocking.
Manage product expiry risks by monitoring shelf-life and arranging for timely sell-through or redistribution.
Analyze stock aging reports to identify slow-moving products and initiate corrective actions.
Coordinate with the finance department to ensure suppliers' invoices match deliveries and purchase orders.
2. Stock Distribution & Logistics
Arrange and oversee stock transfers from the distribution centre / headquarters to retail outlets according to requirements.
Make arrangements for return stocks from outlets to the warehouse when necessary.
Organize inter-outlet stock transfers to balance inventory, ensuring slow-moving goods are moved to outlets with higher demand.
Work closely with the warehouse and logistics team to ensure timely and accurate stock deliveries.
Track and follow up on the delivery status to ensure outlets receive stock as scheduled.
Assist in periodic stock take exercises at distribution centres and outlets, including investigating variances.
Maintain accurate records of all stock movements, transfers, and adjustments in the inventory system.
Contribute to continuous improvement initiatives for better stock management and distribution efficiency.
3. General & Teamwork
Collaborate with cross-functional teams (sales, retail, finance, warehouse, logistics) to ensure smooth stock flow.
Support management in implementing policies related to purchasing, stock control, and distribution.
Provide regular reports and updates to management on purchasing activities, stock distribution, and inventory health.
Carry out any other duties related to purchasing and stock management as assigned by management.
Job Requirements:
Minimum Diploma / Degree in Business or related field
1-2 years of experience in purchasing and inventory (fresh graduates are welcome to apply)
Basic knowledge of procurement and stock management processes
Good communication and negotiation skills
Able to work independently and as part of a team
Proficient in Microsoft Excel and basic computer skills
Attention to detail and good organizational skills
Able to multitask and meet deadlines
Willing to work in a fast-paced environment
