Maintain, update, and control all QA/QC documentation including inspection reports, test results, method statements, ITPs, WPS/PQR, and material certificates.
Ensure proper registration, numbering, and tracking of all QA/QC documents (incoming/outgoing).
Maintain revision control to ensure only the latest documents are used on site.
Assist in distributing controlled documents to relevant departments and project teams.
2. QA/QC Communication Handling
Manage QA/QC communication channels, including RFIs, MIRs, NCRs, CARs, and site instruction responses.
Record and follow up on QA/QC correspondence with clients, consultants, and subcontractors.
Monitor document submission deadlines and ensure timely responses.
3. Filing, Compilation & Record Keeping
Prepare, compile, and organise QA/QC filing systems (physical & digital).
Maintain updated logs for inspections, material approvals, concrete test results, welding records, etc.
Support preparation of QA/QC handover documents, as-built dossiers, and final documentation packages.
4. Inspection & Quality Support
Assist QA/QC Engineers and Inspectors in preparing checklists, forms, and inspection documents.
Ensure all completed inspection forms are signed, stamped, and filed accurately.
Coordinate with site personnel to retrieve documents, test results, and verification records.
5. Material & Test Documentation
Maintain records of incoming materials, mill certificates, calibration certificates, and third-party test reports.
Track expiry dates of certificates (e.g., calibration, welding qualifications).
Assist in submitting material approval requests to consultants/clients.
6. Audit & Compliance Support
Prepare documents for internal and external audits (ISO, client audits, QA/QC audits).
Assist QA/QC department in ensuring compliance with company procedures and project specifications.
Support during site audits by retrieving required documents promptly.
7. Coordination & Administrative Support
Coordinate with site teams, engineering, procurement, and subcontractors for QA/QC documentation.
Prepare minutes of meetings for QA/QC discussions when required.
Assist in arranging testing schedules and documentation for third-party labs.
8. Reporting
Update daily, weekly, and monthly QA/QC document status reports.
Track pending submissions, approvals, NCR closures, and material testing reports.
Highlight delays or missing documents to QA/QC Engineer or Manager.
9. Ad-Hoc Duties
Assist QA/QC team with any administrative or quality-related tasks as assigned by management.
Support other project departments if documentation overlaps with QA/QC requirements.
