Major Responsibilities

General

Is directly responsible for the day-to-day key processes in his/her area of work

Where applicable, acts as shift leader; leads and motivates colleagues by example

Assumes training responsibilities when required; demonstrates a high degree of standards awareness

Actively offers operational, employee and customer related feedback to management

Displays warmth, care and genuine enthusiasm when dealing with guests and internal customers; lives the Golden Rule

Departmental

Receiving related:

Takes charge and responsible for all incoming goods, to check against delivery orders and invoices, food specifications and purchase records to ensure that the type, amount, price and quality of items charged and ordered are correct and maintain safe, sanitary and organized storage of all items.

Ensure all invoices and/or packing slips are stamped with the appropriate receiving stamp upon delivery.

Inspect the physical condition, check quality and count or measure the quantity and weight of all items or supplies at the time they are received and before they are placed in storage.

Inspect food quality at receiving, following the hygiene\xe2\x80\x99s requirement , maintain a good records in all related documentation and file for hygiene auditing.

Inspect and accept delivery of engineering, retail, spa and flowers and other specialty items related to hotel and contact originating department for verification and inspection of goods. Inspect food quality at receiving. Anything questionable must be approved by the Executive Chef or his delegate or Director of Purchasing/Purchasing Manager

Ensure all deliveries are received at the designated receiving area only.

Update electronic Purchase Order System and post all invoices into computerized Inventory system. Check all postings against Edit Report prior to generating the Daily Receiving Report. Inform the Director of Purchasing/Purchasing Manager in the event of any returns, shortages, or no show deliveries immediately, beside generating the Daily Insufficient F&B Report.

Maintain the highest level of business integrity in dealing with vendors and delivery persons

Work together with other Purchasing/Storeroom staff to assure smooth transition of receiving to storage.

Specific Responsibilities and Tasks

General

Acts as a keeper for the hotel\'s code of conduct and standards of procedure in hygiene etc

Actively participates in briefings and meetings; facilitates communication between internal and external guests and management

Maintains a clean and orderly work area and promotes a safe working environment

Performs any additional duties as assigned by the Director of Purchasing/Purchasing Manager.

Departmental

Receiving related:

Ensuring that the receiving area is always kept clean and well organized.

Ensures proper receiving system, quality control and documentation

Maintains stores in excellent physical order and ensures accurate documentation

Actively participates in the month end process

Key Functions

We are looking for individuals who possess a high proficiency with Microsoft Office and have working knowledge of Birchstreet systems.

The ability to possess a high level of professionalism and integrity while maintaining the confidentiality of the office is essential.

Applicants must also have high attention to detail and the ability to multi-task in a fast-paced environment.

Applicants must be an organized people and have an attention to details attitude.

Experience working in a resort or hospitality setting is preferred.

Bilingual (English and Malay) preferred.

Qualifications & Experience

At least 2 years\xe2\x80\x99 experience in the same role, ideally in a luxury resort or residence environment.

Previous experience working in a robust team.

Strong knowledge of purchasing operations.

Strong command of the English language

A working knowledge of purchasing.
