Together with the facilities management team, you\xe2\x80\x99ll help ensure that clients, vendors and employees enjoy a safe and positive experience. You\xe2\x80\x99ll be trained to follow escalation and incident reporting procedures, and comply with the firm\xe2\x80\x99s safety guidelines and strategies.
Your responsibilities also include, but are not limited to: booking meeting rooms; managing office supplies inventory; handling paperwork on maintenance-related activities; and updating the phone directory and company brochures. You\xe2\x80\x99ll also be expected to assist the facilities management team in overseeing contractors on-site and finding vendors and services.
Other Accountabilities
\xc2\xb7 Coordinate for security clearance for visitors\xe2\x80\x99 entrance, including global / regional visitors, auditors, government officers, etc.
\xc2\xb7 Serves visitors by greeting, welcoming, and directing them appropriately. Notifies company personnel of visitor arrival.
\xc2\xb7 Answer, screen and forward incoming phone calls. Maintains security and telecommunications system. Informs visitors by answering or referring inquiries.
\xc2\xb7 Manage, prepare and to submit all associates\xe2\x80\x99 port entry access cards, company QR code and door access pass.
\xc2\xb7 Check, verify & process billings from vendors with relevant departments in charge. Receive, sort daily mail & coordinate with relevant person-in-charge.
\xc2\xb7 Courier services management, including record & requisition follow-up.
\xc2\xb7 General admin support including meeting rooms management and housekeeping.
\xc2\xb7 Maintains a safe and clean reception area by complying with procedures, rules, and regulations.
\xc2\xb7 Good team player, efficient and capable to work independently
\xc2\xb7 Details oriented
\xc2\xb7 Computer knowledge on Microsoft Office application
\xc2\xb7 Good communication skills
\xc2\xb7 Support for any site activities & celebration arrangements.
