Job Description

Receptionist Duties



Greet and assist visitors, directing them to the appropriate personnel or department. Answer, screen, and direct incoming calls; manage messages and general enquiries. Handle incoming and outgoing email, mail, courier deliveries, and letterbox items; record and distribute accordingly. Provide basic information and assistance to visitors and callers. Manage visitor check-in procedures and ensure proper access control for office security. Maintain a clean, tidy, and professional reception area at all times. Handle meeting room bookings and ensure rooms are properly prepared before use (beverages, equipment setup, documents, etc.).

Administrative Duties



Prepare SOA reports for management. Process warranty claims and reply customers/resellers messages regarding warranty. Maintain proper filing systems (physical and digital) for all documents, including invoices, DOs, POs, contracts, and administrative records. Create Air Way Bills (AWB) for courier and logistics shipments. Assist in basic HR administrative tasks such as managing leave forms, attendance updates, and claims submissions.

Additional Administrative Responsibilities



Manage stationery supplies: monitor stock, request replenishment, organize storage, and distribute to staff. Oversee pantry cleanliness; ensure supplies (coffee, tea, sugar, etc.) are refilled and pantry equipment is functioning well. Monitor and maintain the photocopier, including toner replacement, basic troubleshooting, and coordinating servicing. Support new staff onboarding (desk setup, access tags, stationery, name tags, general preparation). Coordinate with vendors and service providers (cleaning, air-conditioning service, pest control, office repairs, etc.). Assist in planning and organizing small company events or activities. Report and follow up on office maintenance issues until resolved. Assist staff with printing, scanning, photocopying, and document binding. Perform any other ad-hoc administrative duties as assigned by management/HOD

Pay: RM2,500.00 - RM3,500.00 per month
