Be familiar with property safety, first aid and fire and emergency procedures and operate equipment safely \xef\x83\x98 To comply with property rules and regulations as outlined in the Employee Handbook, which may from time to time be amended or replaced. \xef\x83\x98 To comply with any other directive/assignments from Senior Management which may be requested from time to time \xef\x83\x98 Support and effectively contribute to all Sales & Marketing Department short- and long-term sales objectives. \xef\x83\x98 Maintains cordial and professional inter hotel relations, supporting all departments in the achievement of all hotel targets and standards. \xef\x83\x98 Develop and maintain relationships with key accounts in order to maximize room sales. \xef\x83\x98 Provide updated information on market research conducted. \xef\x83\x98 Analyze current and potential market/trends, coordinate all activities to maintain and increase revenue. 2 \xef\x83\x98 Conduct weekly survey and gather intelligence on hotel competitors\xe2\x80\x99 product development, offers and promotions (rooms, F&B, C&E), and report findings according to requirements. \xef\x83\x98 Ensure account profiles in Opera S&C are up to date (i.e. contacts, activities, profile details). \xef\x83\x98 Procure new and repeat business by monitoring contact with existing and potential clients from all key sources, e.g. companies, government departments, agencies, commercial houses, private clubs and professional associations within local market. \xef\x83\x98 Support and follow pricing decisions in line with company and property policy. \xef\x83\x98 Interact with potential clients to generate corporate / government business for short and long stay \xef\x83\x98 Meet with guests from major Top Producers (Key Accounts) staying in the property to ensure satisfaction \xef\x83\x98 Maintain a positive community image for self and property and remain current on local business trends. Participate in voluntary organizations which are business related. \xef\x83\x98 Establish and continuously update digital / mailing lists/ database. \xef\x83\x98 Help to organize and attend major sales/PR related functions within and eternally on behalf of the Sales & Marketing the Department. \xef\x83\x98 Attend regular meetings and briefing as required so as key information is communicated & disseminated properly and in a timely manner. \xef\x83\x98 Attend Revenue Meeting, Business Review and or key meetings as required. \xef\x83\x98 Produce monthly weekly report and forecast. COMMERCIAL RESPONSIBILITIES \xef\x83\x98 Keeps yourself well informed about the operations especially in key departments (Front Office, Housekeeping, F&B, Banqueting etc.). \xef\x83\x98 Closely observes matters pertaining to competition (sites, prices, services offered on a regular basis - quarterly or more often if need be). \xef\x83\x98 Promotes the hotel as often as possible through entertaining, conducting site inspections, and presentations etc. of the hotel. 3 SALES RESPONSIBILITIES \xef\x83\x98 Pays visits to former, existing and potential clients in view of entering contracts with them, especially commercial accounts. \xef\x83\x98 Achieves (a) budgeted sales targets / revenues on key accounts and (b) conversion of key prospects through the preparation and execution of acting plans. \xef\x83\x98 Prepare regular and special reports as directed by the Head of Sales & Marketing. \xef\x83\x98 Prepare customized proposals based on clients\xe2\x80\x99 requirements (at time of writing proposals are to be sent within the same day of receipt of enquiry). \xef\x83\x98 Follow up with clients, on account or group requirements, gain commitment, and prepare corporate rate or group/event contracts. \xef\x83\x98 Defines precisely guest requirements and ensures that the guest services offered corresponds effectively to their requests. \xef\x83\x98 Where applicable, collect deposit and finalize all event and room accommodation arrangements. \xef\x83\x98 Ensure credit policy is adhered to for all bookings and that all payments are received in the correct timeframe. Highlight every issue immediately to your supervisor. \xef\x83\x98 Ensure clear and timely communication with relevant departments on groups, events and special guest requests. \xef\x83\x98 Organizes and partakes in lead generation activities such as Sales Blitz and telemarketing. \xef\x83\x98 Provides after-sales service and in particular to ensure all guests complaints are taken seriously and discussed with the respective departments if necessary. \xef\x83\x98 Attend daily sales briefing and share information on daily task \xef\x83\x98 Submit a weekly review of all sales activities & recap sheets. \xef\x83\x98 Receives in the hotel any important guests. \xef\x83\x98 Negotiates prices with the clients. \xef\x83\x98 Confirms verbal proposals in writing. \xef\x83\x98 Ensures that all complaints are reviewed, investigated and follow-up action is initiated. \xef\x83\x98 Develop and call on potential clients in the region. Clients to include top multinational regional and headquartered companies, government agencies, and embassies in Penang. 4 \xef\x83\x98 Join and attend key networking groups and attends conferences and industry related trade shows. \xef\x83\x98 Provide updates on potential business and review vacancies with management, etc. \xef\x83\x98 Monitor and source potential clients / guests for long stay requirements. \xef\x83\x98 Manage time effectively by scheduling per day at least 5 quality sales visits or a minimum of 10 tele-marketing calls per day to areas / regions out with driving distance. \xef\x83\x98 Generate 2 new active accounts or contacts per week (either by cold calling or asking for referrals). \xef\x83\x98 Prepare brochures / Sales Kits the day prior to meetings. \xef\x83\x98 Select and develop 10 key accounts within your area of coverage to maximize revenue from those key accounts. The selected companies / agencies should reflect those with the greatest potential for business in Penang. \xef\x83\x98 Provide a daily report on the selected Corporate Companies, Associations, Government and Travel Agents, including general information, contact information, target departments, and potential number of movers each month into Penang. \xef\x83\x98 To achieve or exceed monthly sales targets / goals and maximizes potential budgets. \xef\x83\x98 Use market intelligence to obtain competitor\xe2\x80\x99s top account list. MARKETING & COMMUNICATIONS \xef\x83\x98 Supports the Head of Sales & Marketing in attending client evening and luncheons for business, corporate and trade contacts. \xef\x83\x98 Supports the Head of Sales & Marketing in promoting, and developing the Ixora brand through all channels of social, print and other digital media, use of advertising, signage, print, graphics, and all the related tools of marketing. \xef\x83\x98 Recommending editorial opportunities and positive press coverage for Ixora Hotel. \xef\x83\x98 Attendance at trade shows and trade events, seminars, meetings and conferences as required. \xef\x83\x98 Targeting markets that match Ixora\xe2\x80\x99s distinct product and fit into the overall marketing plan. \xef\x83\x98 Supporting and contributing appropriately to all Marketing and Sales activities in accordance with the \xe2\x80\x9cMarketing and Sales Plan\xe2\x80\x9d and as directed by the Head of Sales & Marketing. 5 \xef\x83\x98 This list of duties is not exhaustive as you will be required to carry out other duties as assigned to you from time to time by the Head of Sales & Marketing or Senior Management EXTERNAL LIAISONS \xef\x83\x98 To maintain a close working rapport with professional people, the press, media, staff, clients/guests and companies who are potential existing and current supporters of the hotel.
