Provide effective secretarial and administrative support to the Group Treasurer, Pillar Heads and team members. This includes scheduling calendars for them, follow-up the meetings minutes input process, travel arrangements, staff claims approval, correspondence, staff AL/MC/ML, inventory supply ordering, filing, proofreading, organization chart updating, coordinating reports issued by other divisions.
Key Responsibilities:
Manage and maintain Group Treasurer, Pillar Heads and team membersxe2x80x99 calendar: Prioritize meetings according to the level of importance, coordinate full range of meetings, event and travel arrangement, provide agenda/supporting documents for all meetings (internally & externally).
Act as a gatekeeper yet ensure deadlines are being met.
Ensure follow up actions from meetings are completed.
Communicate effectively with all staff.
Conserve HOTxe2x80x99s time by reading, researching and routing correspondence: drafting letters and documents via e-mail and hardcopy; collecting and analyzing information; initiating telecommunications.
Compose, produce, edit and proof-reads, reformat and distributes correspondence and reports.
Screen all phone calls and visitors, resolve inquiries and requests.
Update organizational charts/staff movements; and provide support as needed to a larger functional team.
Maintain strict confidentiality and interact professionally with all level of staff.
Manage Group Treasurer and Pillar Heads Claims & leaves.
Monitor staff AL/MC/ML.
Maintain office supplies inventory to ensure the smooth day-to-day operation. Coordinate and plan logistics for special events (within/cross division).
Photocopy and maintain proper and up-to-date filing system to make sure files/records are easily accessible.
Undertake other duties as assigned.
RequirementsRequirements: Diploma - Diploma in PSC.
Minimum of 3 years working experience as secretary to Senior Management.
