This position will be located at Kuala Lumpur Sentral (Menara 1 Sentral) and it is easy to get to by public transportation as it is located at the heart of Kuala Lumpur. Purpose

To ensure accurate and timely submission of monthly financial reports, quarterly budget follow up reports for a group of vessels under his/her portfolio, to ensure group responsibility are attained, to ensure harmonious working relationship between group members and with other teams. Assist Accounts Manager and Head of WVA in any ad hoc task which may arise.

Interrelations

Reporting to Team Lead or Accounts Manager and closely working with members of the group, AP team, Treasury team and Global Payroll team. Liaising with vessel owners, Management centres in Wilhelmsen Ship Management, Crewing Coordination Center, Global Procurement Services, Master of vessels under Management and Manning agent.

Formal authorities

Timely completing monthly financial close and reporting. Complete financial checklist and submission of financial reports to the Owners. Budget follow up report preparation to internal and external clients. Vessel fund management Read access to the Vessel bank accounts Post journal entries

Main responsibilities

Financial close and management report

  • To prepare monthly financial reporting checklist
  • Verifying opening balances, purchases, and payroll entries
  • Verifying all expenses are supported with proper documents.
  • Posting reporting entries while ensuring expenses are coded accordingly and approved by the relevant authorities
  • Posting appropriate journal entries (accruals, adjustment etc)
  • Ensure other entries are updated timely and accurately (union dues, management fee etc)
  • Ensure/reconcile vessel balance sheet items monthly and updated as per pre-defined template
  • Ensure figure accuracy in online reporting
  • Prepare/Ensure monthly financial reporting package to vessel owner are sent punctually (hard copies if required)
  • Liaise with and respond to queries pertaining to group from various entities and to ensure all response are within 2 working days
  • Review reports for any discrepancies (including analytic review) before submission to Management Centers.
  • Maintaining a proper filing for financial statements, budgets, correspondences, and others
2. Fund management
  • Preparing funds request to vessel owners and update funds schedule monthly
  • To follow up with appropriate parties in case of non-receipt of monthly operation funds.
  • Ensure sufficient funds are available for payment of invoices etc
  • To take appropriate action in case of insufficient funds
3. Internal controls and ISAE 3402
  • Comply to ISAE 3402 Type II requirements in performing each task, and as per internal control framework.
4.Teamwork, collaboration and continuous learning & improvement
  • Plan and manage workload within the group to ensure proper execution of tasks and meet objectives
  • Support and provide guidance to group members pertaining to daily operations and department matters.
  • Actively seek continuous improvement in work processes of individual group.
  • Assume Team Lead role in the absence of the Team Lead to ensure activities carried out by team members
  • Communicate with various parties in order facilitate daily work routines.
Accountabilities
  • Ensure that vessel owners and management centres receive prompt reply to queries.
  • Timely submission of cash call, monthly report and quarterly budget follow up report
  • Ensure healthy intercompany balances between vessel owner and manager.
Qualifications

Mandatory requirements
  • Degree in accounting and/or finance or equivalent in professional accounting body
  • Minimum 3 years working experience in a related field
  • Good command of the English language (both written and spoken)
  • Good management and analytical skills
  • Ability to handle pressure and meeting tight deadlines
Additional preferences
  • Ability to handle pressure and meeting tight deadlines
  • Proficient in MS office applications especially MS Excel
  • SAP, Tableau, any renown ERP system experience will be an added advantage
