Job Description

We are looking for a

Senior Administrative Specialist

to support a newly setup BPO operations at Hamsphire Place near KLCC.

This role will provide administrative and facility management support, assist with expatriate services, liaise with government agencies, and coordinate office expansion projects. The position requires strong organizational skills, attention to detail, and the ability to work independently while supporting cross-functional teams.

Key Responsibilities

1. Office Administration & Facility Management

Handle day-to-day administrative services, including welcoming visitors, responding to employee requests, and managing office service providers (cleaning, security, maintenance). Monitor and ensure compliance with security and ISO27001 requirements. Coordinate with landlords and property managers to ensure smooth office operations. Manage office supplies budget, procurement, and vendor relationships for cost and quality efficiency.
2. Employee Support (Chinese Expatriates)

Provide relocation assistance for Chinese employees, including EP visa applications, housing searches, hotel bookings, and local logistics. Serve as a point of contact to resolve daily living or adjustment issues to ensure a smooth transition and positive employee experience.
3. Government Liaison Support

Prepare and submit required documents to Malaysian government bureaus. Research policies, track updates, and assist in applying for government incentives. Support interactions with government officials to maintain positive corporate relations.
4. Office Expansion Projects

Assist in researching suitable office locations and identifying vendors for expansion needs. Coordinate office setup and fit-out activities, ensuring timelines and budgets are met. Support service teams during office relocation and move-in process.
Qualifications

Diploma or Bachelor's degree in Business Administration, Management, or related field. 3-5 years of experience in office administration, expatriate support, or facility coordination; experience with multinational companies is an advantage. Familiarity with Malaysian government processes, visa applications, and incentive schemes. Strong organizational, multitasking, and problem-solving skills. Proficiency in

English and Mandarin

; Bahasa Malaysia is a plus.
What We Offer

Pay: RM4,500.00 - RM6,000.00 per month
