Provide daily assistance to the Chief Administrative Officer (CAO) in managing operational activities across multiple business units.
Organize and maintain company reports, schedules, dashboards, and key documents to support informed decision-making.
Prepare presentations, proposals, and internal documents for management and board meetings.
Oversee document control, correspondence, and filing systems to ensure accuracy and confidentiality.
2. Cross-Department Coordination
Liaise with Finance, Human Resources, Marketing, Technology, Clinic Operations and other subsidiaries/departments to facilitate seamless cross-functional collaboration.
Track progress of departmental initiatives, ensuring timely completion of deliverables.
Support the implementation of company strategies and standard operating procedures (SOPs).
Assist in preparing monthly financial summaries, expense reports, and budget tracking for subsidiaries.
Coordinate with the finance team to ensure timely submission of invoices, claims, and petty cash reports.
Support reconciliation of financial records, ensuring proper documentation and compliance with accounting standards.
Monitor operational costs and assist in identifying areas for efficiency and cost control.
Liaise with external accountants or auditors for documentation and compliance purposes.
3. Research & Analysis
Conduct data collection, basic analysis, and benchmarking to support business planning and policy development.
Summarize findings into concise reports or presentations for management review.
4. Human Resource & Talent Support
Assist HR in recruitment activities: posting job advertisements, screening resumes, scheduling interviews, and coordinating with candidates.
Support onboarding and induction programs to ensure new hires integrate smoothly into the company.
Maintain and update HR files, employee data, and confidential records with integrity and discretion.
Support talent management initiatives by tracking staff development activities, assisting in performance appraisal coordination, and monitoring employee performance data to ensure alignment with company goals.
5. Project & Event Support
Provide logistical and administrative support for internal events, meetings, and corporate initiatives.
Assist in coordinating company-wide activities, training programs, and staff engagement projects.
6. Brand & Communication Support
Represent the company in monthly employer-branding initiatives such as short videos, photoshoots, and social media content.
Collaborate with the marketing team to share company updates and staff highlights that strengthen corporate image.
Requirement
Bachelor's Degree/Diploma in Business Administration, Accounting, Human Resource Management, or related fields.
Minimum 3 years of working experience in operations, administration, or executive support.
Hands-on experience with Accounting Software (e.g. Xero, SQL, QuickBooks, etc.).
Experience with HR Software (e.g. Kakitangan, HRD, HRIS, etc.) is a must.
Auditing experience is required (internal audit, compliance, or financial audit exposure).
Exposure to recruitment processes - ability to assist in interview coordination and talent acquisition activities.
Fluent in communication with excellent command of English (both written and spoken).
Camera-ready personality: comfortable to appear in social media talent branding content.
Strong organizational and multitasking skills with a keen eye for detail.
Confident, approachable, and adaptable in a dynamic environment.
