The Contract Executive supports the preparation, administration, and management of contracts across EPCC and Turnaround & Maintenance contracts within the
oil & gas sector
. The role focuses on ensuring contractual compliance, minimizing commercial risks, supporting claims preparation, and providing accurate contract-related documentation throughout the project lifecycle.
Key Responsibilities
A. Tendering & Pre-Contract Activities
Review Invitations to Bid (ITB), contract conditions, scope of work, and commercial requirements.
Support bid evaluations, vendor qualification, and subcontract package preparation.
Identify contractual risks and propose mitigation measures.
B. Contract Administration
Responsible for all contractual matters with clients, sub-contractors and vendors.
Assist in drafting, reviewing, interpreting, and finalizing contracts, subcontracts, purchase orders, and service agreements.
Monitor contract milestones, deliverables, payment terms, warranties, and obligations.
Track insurance compliance, bonds, guarantees, and certification requirements.
Maintain an up-to-date contract database and ensure proper document control.
C. Commercial & Claims Support
Prepare and compile variation orders (VO), change requests, extension of time (EOT) submissions, and claims documentation.
Collect supporting evidence such as schedules, correspondence, drawings, site progress, and cost records.
Coordinate with the project team, planning, procurement, and finance to provide commercial and contractual inputs.
D. Post-Award Contract Management
Monitor contractor/subcontractor performance and compliance with the contract terms.
Participate in project meetings, maintain minutes related to contractual issues, and track actions.
Assist in reviewing progress billing, verifying quantities, and preparing client invoices.
Support negotiation of amendments, VOs, and settlement agreements.
E. Legal & Compliance
Ensure adherence to corporate governance, industry standards, and oil & gas regulations.
Liaise with legal advisors on contract interpretation, disputes, or claims.
Support audits and compliance checks.
F. Communication & Coordination
Act as a liaison between internal departments (engineering, project management, procurement, finance) and external parties (clients, subcontractors, suppliers).
Provide regular reports on contractual and commercial matters to management.
Qualifications & Experience
Education
Bachelor's degree in Business, Law, Quantity Surveying, Engineering, or related field.
Experience
2-5 years of experience in contract administration within an oil & gas contractor, EPC contractor, or related industry.
Understanding of EPCC workflows and oil & gas contracting practices.
Technical Skills
Knowledge of Government Acts and contract forms (EPCC contracts, Turnaround & Maintenance contracts).
Proficiency in MS Office, contract management systems, and document control tools.
Understanding of basic cost control, procurement, and project planning principles.
Soft Skills
Strong analytical and negotiation skills.
High attention to detail and ability to interpret legal/contractual language.
Excellent communication, coordination, and problem-solving abilities.
Ability to work independently and under pressure in a fast-paced project environment.
