Job Description


Position Overview

Responsible for planning, organizing, and executing various events on behalf of the club. This role requires strong leadership skills, attention to detail, and the ability to manage multiple projects simultaneously. This task will require working closely with internal stakeholders, customers, vendors, and team members to ensure successful event delivery while maintaining a high level of professionalism and customer satisfaction.

Event Planning and Strategy

  • Develop comprehensive event strategies aligned with club goals and objectives.
  • Conduct market research to identify target audiences, trends, and opportunities for events.
  • Collaborate with vendors and internal teams to define event objectives, themes, and budgets.
  • Create event timelines, project plans, and budgets to ensure successful execution.
Event Operations and Execution
  • Assist in event communications, i.e., creating PowerPoint slides for events/meetings, drafting communications and marketing collateral
  • Manage all aspects of event logistics, including hall booking, catering, transportation, audiovisual setup, event d\xc3\xa9cor and etc.
  • Coordinate with vendors, contractors, and suppliers to negotiate contracts and ensure timely delivery of services
  • Oversee event registration, ticketing, and attendee management processes etc.
  • Provide on-site management and supervision during events to ensure smooth Operations
  • Handle any issues or emergencies that may arise during events
Team Leadership and Collaboration
  • Lead and mentor a team of event coordinators, assistants, and volunteers
  • Delegate tasks, set clear expectations, and provide guidance to team member
  • Foster a collaborative and positive work environment that encourages creativity and Innovation
  • Collaborate with cross-functional teams, such as designers, marketing, and banquet sales, inter-departments and others to align event strategies and objective
Budget Management and Financial Analysis
  • Develop event budgets and track expenses to ensure cost-effective event planning
  • Conduct financial analysis to evaluate event profitability and return on investment
  • Negotiate contracts, pricing, and payment terms with vendors and suppliers
  • Provide regular financial reports to management, highlighting event performance and areas for improvement
Stakeholder Management and Members/ Public Relations
  • Build and maintain strong relationships with members/ public, sponsors, and key stakeholders.
  • Regularly communicate with stakeholders, internal departments, vendors and suppliers to provide updates, gather feedback, and address concerns
  • Act as a primary point of contact for members/ public/ vendors/ internal department inquiries and requests
Administrative - coordinate general administrative office duties such as procurement requisition, invoices, supply requisition etc.
