To support and oversee all processes related to international student affairs, including visa management, compliance, student support, and engagement, ensuring adherence to government regulations and institutional policies. This role acts as a key liaison between international students and immigration authorities, academic departments, and support services at the group level.
1. Student Pass Processing & Compliance
Manage the application, renewal, and cancellation processes of Student Pass via EMGS and Immigration Department systems.
Ensure timely submission of required documentation for student visa endorsements, extensions, special passes, and transfers.
Liaise with EMGS and Immigration for updates, follow-ups, and issue resolution.
Track and monitor visa expiry dates, passport submissions, and student pass approvals.
2. Documentation & Records Management
Maintain accurate and up-to-date records of all international students in accordance with regulatory requirements.
Prepare reports for internal audits, EMGS, Immigration, and the Ministry of Higher Education (MOHE).
Ensure all processes comply with Malaysian laws and guidelines related to international students.
Ensure students meet all regulatory requirements, including obtaining VALs, renewing student passes on time, and canceling visas upon graduation or withdrawal.
3. Stakeholder Liaison
Coordinate with students, education agents/recruiters, and faculties to ensure timely submission of required documents.
Advise and assist students on visa and immigration matters, ensuring they remain informed and compliant.
4. Student Support Services
Arrange for airport pickup and immigration clearance for new international students.
Provide advisory support to international students regarding visa matters, student pass processes, and general settlement issues.
Coordinate orientation and briefing sessions for newly enrolled international students.
Handle enquiries and resolve issues related to student immigration status and documentation.
5. Continuous Improvement & Compliance
Identify opportunities to improve student experience and administrative processes.
Contribute to policy development and SOP documentation for ISO.
Establish positive working relationships with embassies, external agencies, and relevant authorities.
6. Institutional Coordination
Work closely with academic departments, admissions, registry, and finance units to ensure student records are synchronized and accurate.
Assist in aligning ISO services with institutional policies, academic calendars, and regulatory timelines.
Participate in planning and executing events or programmes involving international students.
7. Other Duties
oUndertake any other responsibilities or projects assigned by the Manager or the Head of Department.

Computer Literacy - proficient level of knowledge of Microsoft Office and/or relevant position software programs.
Knowledge & Expertise - Strong knowledge of Malaysia's immigration and international student policies.
