Accurately and efficiently key in all service-related data into the company ERP system.
Process and close Service Job Cards (SJCs) / Work Orders, ensuring all technician labor hours, parts consumed, and service notes are correctly entered and allocated.
Verify all required information is complete on work orders before closing and invoicing.
Prepare and generate routine reports for service management (e.g., technician productivity, work-in-progress, job status reports).
Maintain a comprehensive and organized filing system (both digital and physical) for all service records, warranty claims, and completed job packets.
Perform other clerical tasks as required, including managing department office supplies, handling correspondence, and answering departmental calls.
Assist the Service Manager in preparing and distributing the daily and weekly work schedules for service technicians.
Coordinate with the Parts Department to confirm parts availability for scheduled jobs.
Communicate job assignments and schedule changes to the technical team.
Qualifications & Skills

2 years of experience in a fast-paced administrative, data entry, or coordination role.
Exceptional data entry skills with a high degree of speed and accuracy.
Strong proficiency with business software, particularly MS Office (Excel, Word) and ERP/business management systems.
Meticulous attention to detail and outstanding organizational and time-management skills.
Ability to work independently, manage multiple tasks simultaneously, and meet deadlines.
Clear and professional communication skills.
Preferred:
A strong foundational knowledge of heavy machinery, industrial, or automotive parts and spares is highly preferred.
Previous experience in a service department, manufacturing, or industrial environment.
Experience with technician dispatch or service scheduling.
Associate's degree or certificate in Business Administration or a related field.
Working Conditions
This role operates primarily in a standard office environment, with frequent interaction with the service workshop and parts department.
The role is largely sedentary, requiring extensive use of a computer and keyboard.
