Act as the main liaison between the ship's Master, port authorities, and company representatives.
Coordinate vessel arrivals, berthing, and departures in accordance with port schedules and regulations.
Ensure all pre-arrival, arrival, and departure documentation is accurately completed and submitted on time.
Arrange for pilotage, towage, stevedoring, bunkering, and other port services required by the vessel.
Communicate with terminal operators and port control to ensure smooth vessel turnaround.
Prepare and process all shipping documentation, including manifests, cargo declarations, customs clearances, and port permits.
Ensure all activities comply with maritime laws, port authority requirements, and company policies.
Maintain accurate and up-to-date records of vessel operations, cargo details, and agency reports.
Handle the submission of arrival/departure notifications, cargo tallies, and logbooks.
Provide daily updates to clients on vessel status, cargo operations, and port activities.
Coordinate with customs, immigration, marine, and health authorities for vessel clearance.
Attend vessels on board (when required) to assist with documentation, formalities, and crew matters.
Assist in crew change arrangements, including immigration clearance, transport, and accommodation.
Arrange provisions, supplies, spare parts, and repairs as requested by the vessel.
Support ship personnel in resolving operational, administrative, or welfare-related issues during port stay.
Ensure all vessel activities are conducted in line with port safety, security, and environmental regulations.
Report any incidents, accidents, or non-compliance issues to management and relevant authorities.
Support company initiatives on HSE (Health, Safety, and Environment) and port security standards.
Perform any other related tasks assigned by the Operations Manager or management team.
Job Requirements:
Minimum Diploma or Degree in Maritime Studies, Logistics, Shipping Management, or related field.
Possession of relevant port or shipping certifications is an advantage.
Minimum 2-5 years of experience in shipping agency operations, port logistics, or marine services.
Experience dealing with port authorities, customs, and maritime regulations preferred.
Good understanding of port procedures, cargo handling operations, and maritime documentation.
Proficient in Microsoft Office applications and basic logistics/port systems.
Strong communication, coordination, and problem-solving skills.
Ability to work independently and handle multiple vessels or tasks under pressure.
Good interpersonal skills and professional demeanor in dealing with ship crews and port officials.
Detail-oriented, organized, and committed to meeting deadlines.
Must be willing to work irregular hours, weekends, or public holidays as vessel schedules demand.
Able to communicate effectively in English and Bahasa Malaysia (additional languages are a plus).
