Job Description

We are looking for a proactive and detail-oriented ShippingExecutive to manage end-to-end shipping operations. You will handle shipment scheduling, freight bookings, customs documentation, and coordination with internal and external stakeholders to ensure smooth and timely deliveries.

Key Responsibilities:

Plan and book vessel space based on customer requirements and sales schedules (ETD/ETA). Coordinate container pickup (MT) and monitor port schedules to avoid delays. Prepare and send shipping instructions using standard templates (e.g., CIPL). Create and verify the draft Bill of Lading (BL) with carriers before cut-off time. Submit documents for K2 declaration to forwarding agents. Coordinate with the Sales and Finance teams to prepare and verify commercial invoices. Follow up on payment and submit tax invoices for BL issuance. Request and manage original BL or Telex Release from carriers. Submit final documents for Certificate of Origin (COO) issuance, where required. Email complete shipping documentation to relevant parties. Maintain accurate shipping records and assist in internal documentation and reporting. Liaise with customs, port authorities, freight forwarders, and government bodies (e.g., MITI, MIDA, FMM) for regulatory compliance. Continuously look for process improvements and cost-saving opportunities in logistics operations.

Job Requirements:

Diploma or Degree in Logistics, Supply Chain Management, International Business, or related field. 4 years of experience in a shipping, logistics, or export documentation role. Good knowledge of shipping documents, Incoterms, and customs regulations (K2/K9, COO, etc.). Proficient in Microsoft Office (Excel, Word, Outlook); familiarity with logistics software is a plus. Strong communication, coordination, and negotiation skills. Able to work independently under pressure in a fast-paced environment.
