Special Project Executive TWI SEA Location : Shah Alam, Malaysia Contract : Permanent Hours : Full time Salary : Competitive rate Closing Date : 25 September 2023 Reference number : 122/23 Description of role: We are looking for a Special Projects Executive to support TWI\'s South East Asia (SEA) Managing Director. Working alongside a small team of Membership and Innovation Directorate based in the UK, you will provide high-level confidential support to the Managing Director by providing a full project support and administrative services. Ensuring that effective planning and administrative systems are in place and maintained efficiently and effectively. The key accountabilities include : Handle and manage special projects for the Managing Director. Assist the Managing Director in coordinating special projects. Undertaking ad-hoc projects. To act as a first point of contact dealing with correspondence. Supporting the TWI SEA Managing Director by providing an efficient and effective administrative service that supports them in achieving their objectives. Organising the TWI SEA Managing Director schedule including extensive diary management using Outlook, often re-scheduling last minute or urgent changes. Handling extensive travel arrangements both locally and internationally. Arranging top-level meetings including hospitality, transportation, etc. Liaising with internal and external customers including senior government and business stakeholders, Council members, and TWI staff at all levels. Taking and distributing meeting minutes including ensuring follow up actions have been accomplished. Preparing TWI SEA board reports, letters, presentations and papers as necessary. Continuous improvement of the TWI SEA Managing Director Services\' systems and processes. Other Duties : Develop skills and undertake responsibilities as appropriate, which will fulfil the purpose of the role and support the success of the organisation. Ensure that work is carried out in accordance with TWI\'s values, equality aims, policies and procedures. Participate and contribute to organisational/team meetings as required. Undertake any other appropriate duties as required to support the Managing Director to enable them to fulfil their role. Carry out all the duties with complete discretion and a high regard for confidentiality. Any other duties relevant to the needs of the organisation and as directed Success in your application requires : A degree qualification in Business Administration or a related subject would be advantageous A proven track record of providing a secretarial and administrative service at a senior level. Advanced expertise in the full MS Office suite. Proven ability to work to tight deadlines, prioritise and multitask. Able to be discreet when dealing with confidential and sensitive information. Strong team player, diplomatic, trustworthy, pragmatic and personable. Excellent attention to detail with the ability to work effectively under pressure and to tight deadlines. Good organisational and communication skills. A professional, calm and flexible approach to work. Strong problem solving skills. Willing to go the extra mile.
