We are looking for a Team Lead (GL) who will be working with Wilhelmsen Ship Management.

The position will be located at Kuala Lumpur Sentral which is in the heart of Kuala Lumpur and easy to get to by public transportation.

To ensure accurate and timely submission of monthly financial reports, quarterly budget follow up reports for a group of vessels under his/her portfolio, to ensure group responsibilities are attained, to ensure harmonious working relationship between group members and with other teams and assist Accounts Assistant Manager and/or Accounts Manager in any ad hoc task which may arise.

Reporting to Vessel Accounts Manager and closely working with members of group, Treasury, Global Payroll Team and Shipping group. Liaise with vessel Owner, management centers in Wilhelmsen Ship Management, Crewing Coordination Centre, Global Procurement Team, Masters of vessels under management, and Manning Agents.

Purpose:

Formal authorities

Communicate with various entities in order to facilitate daily work routines.

To plan, organize and distribute work within the group.

To formally evaluate members of group on job performance and take appropriate action where necessary.

To validate and approve leave and claims (in Team Lead portfolio).

Main responsibilities

Assume Team Lead role to ensure below activities carried out by team members.

Update of funds schedule on a monthly basis.

Ensure sufficient funds are available for payment of invoices, allotment, advances and others.

Ensure vessel bank reconciliation is carried out on a monthly basis and validating the cover sheet.

Preparation of requisition forms for payment.

Posting appropriate journal entries (accruals, adjustments etc.).

Ensure owner disbursements are processed within the stipulated time from date of receipt.

Ensure account payables for vessels in group are up to date and alert Treasury for any discrepancies.

Ensure other entries are updated timely and accurately (union dues, management fee etc.).

Ensure all GARD entries are proportioned correctly.

Ensure vessel balance sheet is reconciled monthly and updated as per pre-defined template.

Ensure generation and submission of monthly reports for vessel owners are done in timely manner.

Review reports for any discrepancies before submission to vessel owner.

Ensure monthly financial reporting package to vessel owners are sent punctually (soft and hard copies).

Preparation of budget follow up report (comparison of actual against budget figures).

Liaise with and respond to queries pertaining to group from various entities and to ensure all response are within 2 working days.

Plan and manage workload within the group to ensure proper execution of tasks and meet objectives.

Coach and transfer knowledge to assistants to increase group efficiency.

Actively seeking continuous improvement in work processes of individual group.

Ensure activities are carried out in line with agreed succession planning details with identified individual.

Accountabilities

The position will be measured against accurate and timely submission of cash call, monthly report (soft and hard copies) and quarterly budget follow up report

To review and follow up on monthly closing checklist completed by team members

To ensure that vessel owners and management centers receives prompt reply to queries.

To ensure sufficient funding situation for all vessels under the group to cover committed liabilities.

Qualification

Must possess at least Bachelor Degree / Master of Business Administration, majoring in Accounting and/or Finance

Must have at least 3-4 years of experience in the same field

Analytical mindset

Detailed oriented and meticulous in work.

Proficient in MS office applications especially MS Excel.

Good analytical, leadership and problem solving skill
