• Responsible for registering, classifying, managing, tracking, filing and distributing all electronic and hard copy project deliverables and other documentation as required in project execution
• Provide support to all project participants in document control team
• Administrative tasks including photocopying, scanning, filing, etc as required
• Ensuring the completeness of incoming/outgoing of documentation as per transmittal received/issued
• Registering of incoming/outgoing documents/drawings into the EDMS
• Ensuring the correct distribution of documents/drawings to respective stakeholders or as per agreed Document Distribution Matrix (DDM)
• Perform quality checks on documents as per project requirement
• Prepare own progress weekly report
• Take part of Closing and Archiving of projects
• Provide Document Control service to Client (DC Client) as per project contract.

Department:

• Proactive in ESG and QHSE initiatives for department or/and project assignment
• Participate in broader project document control initiatives as directed by the Lead document controller

Continuous Improvement and Expertise:

• Alert N+1 when Document Management issues could compromise Quality/Schedule or Cost of the project assigned as early as possible
• Suggest improvement/new ways of working in current business practices applied in projects or in the department to hierarchy or via appropriate channel
• Learn up on EDMS functions and document management practices

• Degree/Diploma in Document Management, Records Management, Business Information Systems or equivalent.
• Minimum 2 years of working experience
• Curiosity with regards to Data/Information management/reporting
• Effectively communicate in written and spoken English
• Fast learner and pays attention to detail
• Good interpersonal skills and team player
• Priority management
• Effectively allocates own time to complete work.
• Working knowledge of MS Office-Excel, Word and Power Point and EDMS software
• Ability to learn new software usage quickly
• Rigorous : Accurately and carefully follows established procedures for completing work tasks; clarifies to ensure understanding of instructions, carries out instructions and makes adjustments where necessary.
• Ensures high-quality output by vigilantly watching over job processes, tasks, and work products to ensure freedom from errors, omissions, or defects.
• Document Filing Knowledge - Understands the physical filing process and archiving system required for different projects; attributes proper reference number when filing documentation from various parties (clients, vendors, others) to enable proper retrieval of archived documents, if needed.
• Able to understand business workflow
