is responsible for handling all operational tasks related to visa processing, including submission, follow-up, and collection of documents from Immigration Malaysia and related agencies. The role also requires maintaining a professional and positive working relationship with Immigration officers to ensure smooth and efficient processing of applications.
Key Responsibilities:
? Submit, follow up, and collect visa applications, special passes, and endorsements at Immigration Malaysia, MOE, KDN, and other relevant authorities.
? Ensure all required documents are complete, properly signed, and ready before submission.
? Build and maintain good communication and professional relationships with Immigration officers and government staff to facilitate efficient processing.
? Handle inquiries and resolve minor issues or discrepancies directly with officers in a polite and professional manner.
? Provide timely updates to the Visa Department regarding application status, delays, or special instructions from Immigration.
? Keep accurate records of all submissions, receipts, and collections.
? Handle sensitive documents (passports, approval letters, official correspondence) responsibly and securely.
? Assist in preparing submission sets and ensure all information aligns with Immigration and MOE requirements.
? Observe confidentiality, integrity, and professionalism at all times when representing the organization.
? Perform additional duties as assigned by the Visa Officer or management.
Key Requirements:
Valid Driving License and Owns Transportation
: The role requires frequent travel between various government offices (e.g., Immigration Department, EMGS) and Putrajaya.
Familiarity with Local Routes
: Knowledge of the routes and areas around the relevant government offices is essential for efficiency.
Trustworthiness and Responsibility
: The job involves handling sensitive and important documents (passports, legal papers, etc.)
Organizational Skills
: You will need to accurately log and track documents submitted, collected, or dispatched, requiring strong organizational and administrative skills.
Communication Skills
: Basic communication skills in English and Bahasa Malaysia are required for liaising with government officials and internal staff.
Education Level
: A diploma or a degree in any related field is preferred plus some relevant experience.
Ability to Work Independently
: The ability to work independently with minimal supervision.
