Job Description

1. Accounts Payable (AP) Oversight



Supervise and ensure timely, accurate processing of all accounts payable transactions in line with company policies. Review vendor invoices, purchase orders, and delivery receipts for accuracy and proper authorization. Approve and schedule payments (cheques, IBG, etc.) to ensure compliance with terms and cash flow priorities. Monitor and maintain the AP ledger, ensuring all entries are recorded correctly and reconciled regularly. Resolve supplier disputes and discrepancies in coordination with relevant departments. Oversee the preparation of payment schedules and optimize cash flow for outgoing payments.

2. Accounts Receivable (AR) Management



Lead and monitor the AR process to ensure timely billing, collection, and accurate recording of client payments. Review sales invoices to verify correctness of billing details and amounts. Establish and enforce effective credit control procedures to minimize overdue accounts. Oversee AR aging reports, analyze overdue balances, and coordinate follow-ups with clients. Provide management with regular collection reports and recommendations to improve cash inflows.

3. Bank Facilities & Financial Documentation



Manage and maintain documentation related to bank facilities such as Invoice Financing (IF), Overdraft (OD), and Bank Acceptance (BA). Coordinate with banks for the renewal, expansion, and compliance of financial facilities. Ensure proper tracking of financing utilization and adherence to repayment schedules. Review loan and financing terms, ensuring compliance with covenants and company requirements. Prepare periodic reports on the status and utilization of banking facilities for management review.

4. Bank Reconciliation & Cash Flow Monitoring



Oversee monthly bank reconciliations to ensure accuracy and completeness of recorded transactions. Investigate and resolve discrepancies between bank statements and accounting records promptly. Monitor company cash flow and ensure sufficient liquidity for operational needs. Provide management with insights on cash position and recommendations for financial planning.

5. Petty Cash & Expense Management



Supervise petty cash handling and ensure transactions are properly documented and authorized. Review periodic petty cash reconciliations and ensure adherence to company expense policies. Establish internal controls to safeguard cash and minimize misuse.

6. Financial Reporting & General Accounting



Supervise the preparation of monthly and annual closing reports, ensuring timely and accurate financial statements. Review and approve journal entries, accruals, and adjustments. Oversee general ledger maintenance and trial balance accuracy. Provide management with periodic financial reports on AP, AR, and cash flow. Ensure compliance with SST reporting and other statutory requirements.

7. Full Set of Accounts Supervision



Manage the preparation and maintenance of a full set of accounts, including GL, P&L, and balance sheet. Ensure month-end and year-end closing processes are completed accurately and on schedule. Oversee accruals, prepayments, and reconciliations for financial accuracy. Review financial statements and provide analysis to management for decision-making.

8. Internal Controls & Compliance



Establish and monitor internal accounting controls to safeguard company assets. Ensure compliance with accounting standards, company policies, and regulatory requirements. Identify and implement process improvements to enhance efficiency and financial accuracy. Support external and internal audit processes by providing documentation and explanations.

9. Cross-Departmental Collaboration



Coordinate with Sales, Procurement, and Operations teams to ensure financial data accuracy and proper documentation flow. Partner with the Finance Manager and Management team to resolve accounting discrepancies and provide strategic financial input. Support budgeting, forecasting, and financial planning activities.

10. Ad-Hoc Responsibilities



Prepare ad-hoc financial analysis and management reports as required. Assist management with special projects, system enhancements, and other financial initiatives.
