Job Description


THE OPPORTUNITY Our partner, an industry leader providing exceptional strata, facilities, and onsite building management services in different states of Australia, is looking for an Accounts Payable Officer! As the Accounts Payable Officer, you will be expected to assist both the clients and internal team with their accounts payable requirements. KEY RESPONSIBILITY Duties performed for Clients Property IQ

  • PIQ Global reconciliation (all Units Plans at the end of each month)
  • Daily supplier invoice payment runs
  • Entering of new suppliers & change of details
  • Owner reimbursements for overpaid levies or expenses
  • Reimbursements/refunds to other Units Plans
  • Managing Agent levy refunds (or Inter-lot Refunds/Transfers)
  • Entering & payment of Vantage Strata Invoices: Management Fees, Recoveries, Schedule B\xe2\x80\x99s, Arrears Fees, Business Activity Statement (BAS) & Individual Tax Return (ITR) Fees
  • Reversal of interest or arrears charges
  • Adding Special Levies to owner ledgers, debt recovery charges, owner expense charges.
Invoices & AIM
  • Sort out invoices, job sheets, photos, statements, reminders and send only invoices through to AIM for processing
  • AIM \xe2\x80\x93 Process/check invoices and assign to a due date; then assign to Strata Manager for approval
  • Redirection of invoices where required
  • Reject duplicate invoices
  • Review supplier monthly statements \xe2\x80\x93 request copies of invoices if necessary
  • Chase overdue invoice for Strata Manager approval
Banking
  • Opening of new Units Plan Transaction accounts and Investment/Term Deposit accounts
  • Onforwarding of Term Deposit maturity notices & updating in Property IQ
  • Investment account transfers as requested by clients/Strata Managers
  • Account closures
  • Approve payment files held at bank
  • Request bank traces for unidentified deposits
  • Units Plan bank statement requests from Strata Managers
Other
  • Provide some assistance to auditors
  • Provide financials and relevant documentation for handover of lost UP\xe2\x80\x99s
  • Staff, Building Manager & Owner expenses claims and reimbursements
  • Interrogating financial information within existing systems and reports to assist with audits, and onboarding new clients.
  • Facilitate and document financial transactions such as payments, utility bills, invoices, purchase orders, payroll, reimbursements, and other financial processes.
Duties performed for the Company
  • Manage 4 x office prepaid VISA cards \xe2\x80\x93 reconcile accounts & transfer of funds
  • Reconciling & maintaining 3 x Bunnings Accounts (VS, UP3309 & UP3963)
  • Noting Vantage strata payments (e.g. management fees etc) for bookkeeper to be able to reconcile to Vantage Strata records
  • Manage recoveries from Units Plans to Vantage Strata
  • Collecting, interpreting, and reviewing financial information
  • Reporting to management and stakeholders, and providing advice how the company and future business decisions might be impacted
  • Developing strategies that work to enhance business processes, and minimise financial risk
  • Assisting with other administrative tasks in the team when required
SKILLS, EXPERIENCE & QUALIFICATIONS
  • Bachelor\xe2\x80\x99s degree in Finance/Accounting or relevant field
  • At least 4 years of work experience as Accounts Payable with the same capacity.
  • Has exposure to any accounting system and can learn industry-specific software quickly.
  • Outstanding written and spoken communication skills. (Required language: English).
  • Preferably someone with has worked with strata management organizations, or in the property sector.
  • Proficiency in Microsoft Office specifically Excel
  • Ability to work under pressure
  • Ability to work individually and within a team
  • Strong attention to detail
  • Enthusiastic & engaging with an excellent attitude
