We are seeking a reliable, well-organized, and proactive
Office Administrator
to support our daily administrative and operational activities. The ideal candidate will be responsible for office coordination, documentation management, logistics arrangements, and administrative support to management and operations teams.
Key Responsibilities
Administrative & Office Support
Manage and maintain physical and digital filing systems
Perform accurate data entry and maintain records, reports, and inventories
Handle incoming calls, emails, and general correspondence professionally
Provide daily administrative support to management and team members
Maintain confidentiality of sensitive company information and documents
Handle general postage and courier arrangements
Respond to company emails in a timely and professional manner
Forward emails and correspondence to relevant departments for action and follow-up
Operations & Scheduling
Prepare and manage monthly schedules for the Operations Team
Collect monthly checklists from branches via POS and ensure submission before month-end
Coordinate POS arrangements and operational support
Arrange and coordinate monthly office meetings with management
Prepare and record meeting minutes for every meeting
Logistics & Travel Arrangements
Arrange hotel bookings and flight tickets for management and staff
Manage monthly office cleaner arrangements
Asset & Vehicle Administration
Maintain company vehicle administration, including:
Road tax renewal
Insurance renewal
PUSPAKOM inspection arrangements
Register and maintain company assets and operational tools in the company system
Ensure proper upkeep and monitoring of office assets
Procurement & Inventory
Assist in procurement of office supplies and monitor stock levels
Ensure office equipment and facilities are well maintained
Requirements:
Proven experience as an admin assistant or similar role
Proficient in Microsoft Office (Word, Excel, Outlook)
Familiar with office equipment and systems (ERP knowledge is a plus)
Excellent organizational and multitasking abilities
Strong communication and time management skills
Able to work independently and handle multiple priorities
Minimum SPM or Diploma in Business Admin or related field
