Handle daily administrative tasks to support sales office and warehouse operations
Manage incoming calls, emails, and correspondence from customers, suppliers, and internal teams
Prepare, verify, and file administrative documents such as DOs, invoices, POs, credit notes, and reports
Maintain proper filing (physical & digital) for sales, warehouse, and admin records
Sales & Operations Support
Support sales team with order processing, documentation, and coordination
Assist in preparing sales reports, price lists, promotions, and customer records
Coordinate with sales reps regarding order status, delivery schedules, and documentation
Liaise with customers on basic administrative matters (documents, delivery confirmation, billing support)
Warehouse & Logistics Coordination
Coordinate with warehouse team on stock movement, delivery schedules, and returned goods
Assist in monitoring inventory records, stock transfers, and discrepancy reports
Prepare and check delivery schedules, delivery orders (DO), and logistics documentation
Liaise with transporters, drivers, and 3PL partners for delivery arrangements
Purchasing & Office Management
Monitor and order office supplies, stationery, and warehouse admin materials
Liaise with vendors and service providers for office and warehouse-related services
Ensure office and admin areas follow basic 5S standards
Compliance & Ad-hoc Duties
Ensure administrative procedures follow company SOPs
Support audits by preparing and organizing required documents
Perform ad-hoc administrative duties as assigned by management
Requirements / Skills
Minimum SPM
Familiar with DO, invoice, PO, stock records, and basic inventory systems
Basic Microsoft Office (Excel, Word, Email); ERP system knowledge is a plus
Good coordination, communication skill
Detail-oriented, responsible, and able to work in a fast-paced environment
