Job Description


Job Summary:The Admin Executive is responsible for providing administrative support to ensure efficient operation of the office. This role includes supporting managers and employees through a variety of tasks related to organization and communication. The Admin Executive is responsible for confidential and time-sensitive material and should be familiar with a variety of the field\'s concepts, practices, and procedures.Key Responsibilities:1) Office Administration:

  • Manage office supplies inventory and place orders as necessary.
  • Maintain office environment by ensuring proper upkeep and arrangement of workspaces.
  • Coordinate maintenance of office equipment.
2) Documentation and Record Keeping:
  • Prepare and edit correspondence, reports, and presentations.
  • Organize and maintain files and records.
  • Ensure the confidentiality and security of files and filing systems.
3) Communication and Coordination:
  • Answer and direct phone calls.
  • Communicate with external vendors and service providers.
  • Coordinate with internal departments and assist in the resolution of administrative issues.
4) Meeting and Event Management:
  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • Assist in planning and organizing company events and meetings.
  • Prepare agendas and take minutes of meetings.
5) Support Services:
  • Assist HR with recruitment, onboarding, and employee record management.
  • Support the finance team with invoicing, expense reporting, and budget tracking.
  • Handle any other administrative tasks as assigned by management.
Qualifications:
  • Education: Bachelor\xe2\x80\x99s degree in Business Administration, Management, or a related field.
  • Experience: Proven admin or assistant experience. Previous experience in a similar role is a plus.
  • Skills:
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
  • Excellent time management skills and ability to multitask and prioritize work.
  • Attention to detail and problem-solving skills.
  • Strong organizational and planning skills.
  • Excellent written and verbal communication skills.
