Position: Admin Assistant
Salary: RM1,700 - RM1,800
Working Hours: 8:00 AM - 5:00 PM
Working Days: Tuesday - Sunday (Saturday: Alternate 2x per month)
Location: No. 17, Jalan 4/1A, Seksyen 4, Bandar Baru Bangi, Selangor



We are seeking a responsible and well-organised Admin Assistant to support daily administrative and operational activities for our client in the food & beverage industry.

In this role, you will handle documentation, vendor coordination, staff records, and office administration to ensure smooth daily operations. This position is suitable for someone who is detail-oriented, disciplined, and comfortable handling multiple administrative tasks in a fast-paced environment.

Key Responsibilities



1) Organise, record, and maintain daily documents including invoices, receipts, delivery orders, vendor bills, and staff claims
2) Ensure all documents are accurate with correct dates, amounts, and categories
3) Manage and maintain LHDN audit files and office SOP documentation
4) Update employee records such as attendance, leave, warning letters, and performance records
5) Collect, verify, and compile vendor invoices before submission to the Account Executive
6) Prepare vendor payment lists every Tuesday and Friday and liaise with vendors regarding pricing, outstanding payments, and payment schedules
7) Answer incoming phone calls, WhatsApp messages, and enquiries from vendors or customers professionally
8) Assist with table reservations, food orders, and coordination with operations supervisors
9) Manage office supplies including stationery, printer ink, forms, and filing materials
10) Prepare brief meeting minutes when required
11) Enter supplier data into the e-Invoice system and ensure invoices are properly recorded for tax processing
12) Maintain organised e-Invoice references by vendor category for audit and retrieval purposes
13) Prepare basic daily and weekly reports such as incoming invoices, vendor payments, and staff attendance
14) Provide administrative and operational support to management as directed by the Restaurant Manager or Admin & HR Executive
15) Ensure smooth internal communication and proper documentation flow to support efficient daily operations
