The Admin Assistant, Operations is responsible for maintaining high standards across the company's operations and services. This includes ensuring compliance with regulations, monitoring performance, identifying improvements, and supporting teams to deliver consistent quality.
Key Accountabilities
Ensure company operations and services comply with quality and regulatory standards.
Develop, review, and improve SOPs, policies, and processes across departments.
Monitor and evaluate performance, audits, and nonconformance issues.
Support training and continuous improvement initiatives to maintain company-wide quality.
Job Responsibilities
Maintain and track complaint and nonconformance cases, including root cause analysis and corrective actions.
Document quality assurance activities, internal reporting, and audits.
Work closely with team members to ensure policies are followed according to management requirements.
Evaluate findings from reports before taking necessary action.
Devise and implement procedures to inspect, test, and report quality issues.
Monitor all operations affecting quality and ensure readiness before programs or policies reach customers or partners.
Supervise and guide internal and external team members involved in quality improvement initiatives.
Test products, policies, guidelines, or procedures to identify mistakes or non-conformity issues before launch.
Ensure consistency and quality of services in line with management requirements.
Address and resolve customer/partner complaints and internal findings as per policy requirements.
Report any malfunctions or loopholes to management and take immediate corrective action.
Facilitate proactive solutions through the collection and analysis of quality data.
Maintain accurate records of quality reports, statistical reviews, and relevant documentation.
Coordinate with internal and external departments during audits, research, or training to gather feedback and identify improvement opportunities.
Perform any other duties as assigned from time to time.
Qualifications
Diploma in Quality Management, Business Administration, or related field.
Minimum 2 years of working experience in quality assurance/administrative or a similar role.
Familiar with QA standards, policies, and regulatory requirements.
Strong analytical skills with attention to detail.
Ability to manage multiple tasks and prioritize work efficiently.
Able to prepare reports, conduct audits, and follow up on nonconformance issues.
Good communication and teamwork skills to work with different stakeholders.
Proactive, organized, and able to manage multiple tasks effectively.
Proficient in Microsoft Office applications (Word, Excel, PowerPoint).
High attention to detail and able to handle confidential information with integrity.
Willingness to adapt to changing requirements and work in a dynamic environment.
