Key Responsibilities
Administrative Duties
Manage daily store administrative tasks, documentation, and filing.
Handle incoming calls, emails, and general inquiries.
Prepare and organize internal documents, reports, memos, and schedules.
Assist with staff coordination--leave records, attendance tracking, and onboarding documentation.
Maintain office supplies, store supplies, and coordinate with vendors when required.
Support management in organizing meetings, preparing minutes, and following up on action items.
Bookkeeping & Finance
Perform daily data entry for sales, expenses, invoices, and payments.
Maintain accurate records using accounting software (e.g., SQL/SP, Xero, or your system).
Manage Accounts Payable (AP) and Accounts Receivable (AR).
Reconcile monthly bank statements, POS sales, payment platforms (GrabPay, FPX, etc.).
Prepare simple financial reports and summaries for management.
Assist with month-end closing, stock-related paperwork, and audit preparations.
Ensure compliance with company SOPs and proper documentation for all financial transactions.
Retail-Related Support
Liaise with store teams to ensure accurate cash handling and daily sales reporting.
Assist with stock documentation (e.g., stock adjustments, supplier invoices, stock transfer paperwork).
Support management during product launches, pop-ups, and administrative planning tasks.
Requirements
Proven experience in administrative work, bookkeeping, or related field.
Basic understanding of accounting principles.
Proficiency in Microsoft Excel/Google Sheets; familiarity with POS or accounting software is a plus.
Strong organizational and multitasking skills.
Ability to maintain confidentiality and handle sensitive data.
Good communication skills and a positive, problem-solving attitude.
Ability to work independently with minimal supervision.
