, helping with administrative coordination, campaign execution, content management, and online sales operations.

Role Description



We are seeking a

full-time, on-site Admin Executive

to join our Selayang office.

As an Admin Executive, you will provide

administrative and operational support to the Marketing and E-Commerce teams

, ensuring that campaigns, social media content, online product listings, and promotional activities are executed efficiently. You will help maintain digital assets, coordinate marketing and e-commerce activities, assist with reporting, and provide general support to keep daily operations running smoothly.

This role requires someone who is

organized, detail-oriented, proactive, and able to handle multiple tasks simultaneously

. You will collaborate closely with the Marketing and E-Commerce teams to support campaign execution, content management, and online sales initiatives.

Key Responsibilities



1.

Administrative & Office Support



Manage day-to-day office operations, including filing, record keeping, and correspondence. Maintain office supplies and ensure inventory is available for marketing and e-commerce activities. Prepare reports, presentations, and documentation to support team initiatives. Coordinate meetings, timelines, and internal communications between departments.
2.

Marketing Team Support



Assist in

preparing marketing materials

, such as banners, posters, brochures, and digital content for campaigns. Help schedule and coordinate social media content across

Facebook, Instagram, TikTok, XiaohongShu (XHS)

. Support organization of marketing events, roadshows, expos, and in-store promotions, including logistics and on-site setup. Track and maintain marketing assets, campaign files, and visual resources for easy access by the Marketing team. Assist in compiling campaign reports, engagement metrics, and post-event analysis. Coordinate internal communications and timelines to ensure campaigns are executed on schedule.
3.

E-Commerce Team Support



Assist with updating and maintaining online product listings on e-commerce platforms. Help manage product images, descriptions, prices, and inventory updates. Coordinate online promotions, campaigns, and social media advertising. Support the E-Commerce team in monitoring sales performance, customer inquiries, and order fulfillment documentation. Assist in generating e-commerce reports, analytics, and insights for management review.
4.

Document Management & Reporting



Maintain organized records for Marketing and E-Commerce activities, campaigns, and events. Prepare periodic reports summarizing performance, engagement, and outcomes. Assist in creating, updating, and enforcing SOPs for campaign execution, e-commerce management, and social media content.
5.

Coordination & Communication



Serve as a liaison between Marketing, E-Commerce, and other departments to ensure smooth operations. Handle communications related to marketing campaigns, online sales, and vendor coordination. Assist in organizing meetings, briefings, and project follow-ups between teams.
6.

Process Improvement & Operational Support



Identify opportunities to

streamline administrative, marketing, and e-commerce processes

. Assist in implementing tools, systems, or workflows to improve team efficiency. Support special projects as assigned, including research, reporting, and campaign analysis.

Qualifications



No experience needed in administration or office support, preferably with exposure to marketing or e-commerce operations. Diploma or Bachelor's degree in

Administration, Marketing, Communications, or a related field

is preferred. Strong

organizational, multitasking, and time management

skills. Proficient in

Microsoft Office (Word, Excel, PowerPoint)

and Google Workspace; familiarity with Canva, CapCut, or e-commerce platforms is a plus. Detail-oriented with strong accuracy in documentation, reporting, and content management. Professional, proactive, and able to work

independently with minimal supervision

. Excellent

communication and interpersonal skills

, able to collaborate effectively with Marketing, E-Commerce, and internal teams.
