Role Purpose
The Admin Executive is the backbone of daily operations, ensuring administrative discipline, documentation integrity, and smooth internal coordination. This role safeguards structure so leadership can focus on strategy and growth.
Key Responsibilities
1. Administrative Operations
Manage day-to-day administrative tasks with accuracy and timeliness
Maintain proper filing systems (physical & digital) in line with company standards
Prepare, organize, and track company documents, letters, and records
Coordinate office supplies, vendors, and basic facilities matters
2. Documentation & Reporting
Prepare basic reports, summaries, and internal documentation as instructed
Ensure all documents are properly formatted, updated, and authorized
Track approvals, signatures, and document flow across departments
Support audit readiness by maintaining clean and retrievable records
3. Internal Coordination
Act as the coordination point between management and staff on administrative matters
Schedule meetings, prepare agendas, and record minutes when required
Follow up on action items to ensure closure no loose ends
Support onboarding documentation for new staff
4. Compliance & Control
Ensure adherence to internal policies and administrative procedures
Flag inconsistencies, missing documents, or process gaps to management
Maintain confidentiality of sensitive information at all times
Uphold company discipline and professional standards
5. Management Support
Provide direct administrative support to directors and managers
Handle ad-hoc administrative tasks as assigned by management
Assist in preparing materials for meetings, presentations, and reviews

Pay: RM2,000.00 - RM3,200.00 per month
