The successful candidate will be responsible for ensuring smooth administrative processes, maintaining accurate records, coordinating with internal departments, and assisting management with operational and compliance requirements. This role is critical in supporting both local and international business activities for our fish oil and marine-based products.
Key Responsibilities
Office & Administrative Support
Manage daily office operations, including correspondence, filing, document preparation, and record keeping.
Handle phone calls, emails, and inquiries professionally and efficiently.
Assist in the preparation of reports, presentations, and meeting minutes.
Maintain company databases, records, and document control systems.
Coordination & Communication
Liaise with internal departments (Sales, Production, Quality Assurance, Logistics) to ensure smooth workflow.
Support coordination of meetings, schedules, and travel arrangements for management and staff.
Act as a communication point for vendors, customers, and service providers.
Compliance & Documentation
Assist with regulatory compliance, licensing renewals, and company certifications (HACCP, GMP, ISO, etc.).
Prepare and manage import/export documentation in coordination with logistics teams.
Maintain proper filing and archiving of contracts, agreements, and compliance documents.
Finance & Procurement Support
Provide administrative support for invoicing, payments, and petty cash management.
Assist in procurement of office supplies, services, and coordination with suppliers.
Ensure timely submission of expense claims and tracking of related budgets.
HR & Staff Support
Assist in maintaining employee records, attendance, and leave tracking.
Support recruitment activities, onboarding of new staff, and training coordination.
Help organize company activities, meetings, and staff events.
Required Qualifications
Education & Experience
Diploma or Bachelor's degree in Business Administration, Management, or related field.
Minimum 1 year of administrative or office support experience (Preferred).
Experience in manufacturing, food industry, or international business environment (Advantage).
Skills & Competencies
Strong organizational and multitasking skills.
Good communication skills in English and Bahasa Malaysia (Mandarin is an advantage).
Proficiency in MS Office (Word, Excel, PowerPoint) and familiarity with office systems.
Basic understanding of company compliance, import/export procedures, or document control (Preferred).
