Handle routine purchases of office equipment and supplies (stationery, refreshments); maintain minimum stock levels and update the price list quarterly.
Arrange and oversee office maintenance, repairs, and servicing of office equipment; maintain an asset/service log.
Coordinate monthly workplace upkeep (cleaning, safety checks) and ensure equipment is in good working order.
Plan and execute monthly birthday celebrations
Renew company vehicle road tax and insurance on time; keep a register of due dates and documents.
Manage all tenancy matters (agreements, renewals, deposits, handover/defect lists, correspondences) and filing.
Review and manage petty cash: record expenses daily, reconcile monthly, and submit claims with supporting documents.
Control and administer company toll, petrol, and diesel cards: issue/return, set limits, monitor usage, and investigate variances.
Process all utilities (electricity, water, internet, phone): track due dates, verify bills, and submit for payment promptly.
Manage courier services and dispatch arrangements; maintain an in/out register and track deliveries.
Answer company phones and intercom
Update daily fuel usage for heavy machinery; compile weekly/monthly summaries for management review.
Perform any other duties assigned by the superior from time to time, ensuring compliance with company policies and SOPs.
