Job Description

We are an Engineering Company specializing in the Design and Manufacture of Process Equipment.

In line with our business expansion, we are seeking a dedicated and proactive

Admin Executive

to join our team.

Job Responsibilities:



Handle day-to-day general administration duties, including filing, documentation, correspondence, and record keeping. Assist in preparing letters, memos, reports, and presentations as required by Management. Maintain and update company records, staff lists, contact lists, and other administrative databases. Coordinate incoming and outgoing mail, courier, and deliveries. Assist in arranging meetings, appointments, and preparing meeting minutes when required. Coordinate office maintenance, office supplies, stationery, and service providers (cleaning, pest control, copier, etc.). Support HR and Accounts departments with basic administrative tasks (e.g., document compilation, filing of invoices, staff forms, training records, etc.). Assist in documentation and filing related to permits, licenses, renewals, and dealings with external authorities/agencies when required.

Handle utilities-related matters

, including new applications, changes, renewals, and correspondence for:
- Phone lines & mobile lines,

-Unifi / internet services,

-TNB electricity,

-SYABAS water,

-IWK sewerage, and

-MBSA licenses and other local authority matters.

Liaise with internal departments to ensure proper documentation flow and track status of all documents. Maintain proper filing (hard copy and soft copy) to ensure documents are easily traceable and audit-ready.

Administer simple IT-related tasks

, including:
-Managing yearly Endpoint Security System subscriptions,

-Scheduling and monitoring company data backups,

-Performing basic troubleshooting on PCs, and

-Coordinating external IT technicians for major hardware or system issues

Conduct regular inspections and assist in the maintenance of the IEC building.

Maintain simple records related to Safety matters as required by the Company.

Any other administrative tasks as may be assigned by Management from time to time.

Requirements:



Minimum Diploma in Business Administration, Office Management, IT, or related field. At least 1-2 years of working experience in administrative or clerical functions. (Fresh graduates with good attitude are encouraged to apply.) Good command of Bahasa Malaysia and English (spoken and written). Proficient in MS Office (Word, Excel, Outlook, PowerPoint). Basic IT literacy is an added advantage. Strong sense of responsibility, confidentiality, and professionalism. Meticulous, well-organised, and able to manage multiple tasks and deadlines. Able to work independently with minimal supervision and also as part of a team. Good communication and interpersonal skills.

Job Type: Full-time

Pay: RM2,000.00 - RM3,000.00 per month
