Manage day-to-day office operations (supplies, equipment, pantry items, meeting rooms).
Maintain a clean, organized, and efficient working environment.
Oversee office maintenance, repairs, and vendor coordination.
2. Documentation & Filing
Prepare, format, and organize documents such as letters, reports, minutes, and memos.
Manage digital and physical filing systems for easy retrieval.
Ensure document accuracy and confidentiality.
3. Scheduling & Coordination
Manage calendars, schedule meetings, and arrange appointments for management.
Organize company events, meetings, and travel arrangements.
Coordinate internal and external communications.
4. HR Support (if applicable)
Assist in onboarding new employees (preparation of documents, orientation).
Maintain employee records and attendance tracking.
Coordinate staff training, benefits, or other HR-related activities.
5. Finance & Procurement Support
Assist with invoice processing, expense claims, and basic bookkeeping tasks.
Request quotations, prepare purchase orders, and liaise with suppliers.
Track office budgets and ensure cost efficiency.
6. Customer & Stakeholder Support
Handle phone calls, emails, and walk-in inquiries professionally.
Serve as the first point of contact between the company and external parties.
Support managers and departments with administrative tasks when needed.
7. Compliance & Reporting
Prepare administrative reports and summaries.
Ensure administrative processes follow company policies.
Support audits and compliance-related activities.
8. Ad-hoc Tasks
Assist management with special projects.
Perform any other administrative duties assigned from time to time.
