Job Summary



The Admin / Operation Executive is responsible for supporting the daily administrative and operational functions of the restaurant group. This role ensures smooth coordination between HQ and outlets, proper documentation, and effective execution of operational procedures to maintain consistency and efficiency across all branches.

Key Responsibilities



Administrative Duties:



Handle general administrative tasks including documentation, filing, correspondence, and data entry. Prepare and update operational reports, outlet performance records, and inventory summaries. Manage staff attendance records, schedules, and HR-related documentation. Assist in procurement processes -- sourcing, issuing purchase orders, and coordinating deliveries with suppliers. Ensure all licenses, insurance, and renewals (e.g. premise, SSM, halal, etc.) are up to date.

Operational Support:



Coordinate daily operations between HQ and outlets, ensuring smooth communication and issue resolution. Monitor outlet needs such as manpower, supplies, and equipment. Support in new outlet setup, renovation coordination, and operational readiness. Conduct periodic checks or visits to outlets to ensure compliance with SOPs. Assist in planning and execution of operational improvement initiatives. Liaise with vendors, contractors, and service providers for maintenance and logistics matters.

Reporting & Coordination:



Prepare monthly operation reports and summaries for management review. Support management in scheduling meetings, preparing minutes, and following up on action items. Assist with budget tracking, petty cash management, and invoice verification.

Requirements



Diploma or Bachelor's Degree in Business Administration, Operations Management, or related field. At least 1-3 years of experience in administrative or operations roles (preferably in F&B industry). Strong organizational and multitasking skills. Proficient in Microsoft Office (Excel, Word, PowerPoint). Good communication and coordination skills in Bahasa Malaysia and English. Able to work independently with minimal supervision and handle multiple outlets support. Possess own transport and willing to travel to outlets when required.

Preferred Skills (Optional)



Knowledge of F&B operations, inventory management, or POS systems. Experience assisting in new outlet openings or franchise operations. Basic accounting or HR administrative knowledge.
