Working Hours: Monday to Friday, 9:00 AM - 6:00 PM
Job Summary:
We are looking for a detail-oriented and proactive Administrative Executive to support our daily office operations and coordination activities. The role involves handling documentation, attending tender briefings, preparing and submitting documents to clients or authorities, and ensuring timely follow-up on ongoing matters.
You will serve as a key point of contact between the company and external stakeholders, ensuring smooth administrative and operational workflows.
Key Responsibilities:
Prepare, organize, and submit documents for tenders, quotations, and proposals according to specified requirements and deadlines.
Attend tender briefings, site visits, and relevant meetings on behalf of the company.
Coordinate with internal teams to collect and verify the necessary documentation and approvals.
Maintain proper filing systems (both physical and digital) for easy retrieval of records and documents.
Track submission deadlines and ensure timely completion of all administrative tasks.
Follow up with clients, vendors, or government agencies on pending submissions, approvals, or clarifications.
Manage correspondence, emails, and calls professionally and promptly.
Assist in general office administration including stationery management, scheduling appointments, and handling courier or dispatch services.
Support management in preparing reports, letters, and other administrative materials.
Perform other ad-hoc tasks assigned by management.
Requirements:
Diploma or Bachelor's Degree in Business Administration, Management, or a related field.
At least 1-3 years of working experience in administrative or documentation-related roles (experience in tender submission is an advantage).
Strong organizational and time-management skills with the ability to handle multiple tasks efficiently.
Good communication and interpersonal skills (English and Bahasa Malaysia required).
Proficient in Microsoft Office (Word, Excel, PowerPoint) and basic digital documentation tools.
Detail-oriented, proactive, and able to work independently with minimal supervision.
Possess own transport and willing to travel for document submission or tender briefings when required.
