Position

: Administrative Executive



Reporting to

: Principal



Job Purpose



The candidate will be responsible for students' data compilation and upkeeping, communication with existing parents and enquiries, liaising with government departments and other task given by principal.

Key Duties & Responsibilities



1. Liaising with government department:

a. JPN - Renew and apply permits for teachers, staff, board members and school

b. JPN - SMIPS report submission

c. JPN - School applications for events/field trip/fund raising

d. MBI - School's permit renewal and canteen's permit renewal

2. Front Desk Duties:

a. Answer incoming calls, walk-in requests from existing parents, ex-students and clients for enquiries, admissions and booking appointment for Principal, Vice Principal and teachers

b. Compile all comments and document feedback from parents.

3. Students' Data & Documents

a. Update and upkeep students' data, records, class list and ensure students file is complete

b. Prepare students' leavers documents - school leaving certificate, other certificates

c. Assist in students' attendance record

4. Administration Work:

a. Forms creation / letters including assigning reference numbers and alignment of letters / forms

b. Documentation filing for all documents about academics and operations

c. Prepare circulars / letters / notice from school to distribute to parents and students via e-mail, hardcopies, WhatsApp

d. Check, update and take down information on Notice Boards for all floors including putting up new notices, announcements, memos and posters

e. Assist teachers in stationery, equipment requests and rooms arrangement request

5. School Events:

a. To assist in school events

6. Perform any other tasks as and when required by Management

Job and Person Specification



1. Minimum Diploma in Business Administration or equivalent

2. 2 years of experience in a clerical position

3. Good English written and verbal communication skills

4. Strong communication skills; ability to interact productively with supervisors, peers and subordinates

5. Good time management skills

6. Proficient in the use of computers, including accounting software, database software, document management software and Microsoft Office

7. Able to work independently

8. Positive attitude towards work, self-disciplined and self-motivated

1. Previous experience in an educational setting

Pay: RM2,500.00 - RM3,200.00 per month
