We are seeking a dedicated and proactive Administrative Executive to join our team. This role is responsible not only for managing day-to-day administrative and office operations but also for coordinating post-project maintenance with our clients. The ideal candidate will be highly organized, customer-oriented, and capable of handling both administrative tasks and external service coordination to ensure smooth operations and excellent client experience.
Requirements:

  • Diploma or higher qualification in a relevant field.
  • Minimum 2-3 years of administrative experience, preferably within the architecture or interior design industry.
  • Proficiency in AutoCount accounting software for managing financial records and generating reports.
  • Mandarin proficiency (both spoken and written) is mandatory. Fluency in English is also required.
  • Exceptional organizational skills with strong attention to detail to ensure accuracy in all administrative functions.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), capable of preparing professional documents, spreadsheets, and presentations.
  • Demonstrated ability to maintain well-organized and accurate records, both physical and digital, for efficient retrieval and compliance.
  • Excellent communication and interpersonal skills, with the ability to engage professionally with clients, vendors, and internal teams.
  • Able to work independently as well as collaboratively, showing initiative and a proactive approach to problem-solving in a dynamic environment.
Responsibilities
Key Responsibilities:
  • Maintain well-organized and up-to-date filing systems (both physical and digital) to ensure accurate record-keeping and efficient information retrieval.
  • Provide full administrative support, including scheduling meetings, managing correspondence (emails, letters, phone calls), and preparing reports, presentations, or other required documents.
  • Oversee daily office operations and procedures, such as procurement and inventory of office supplies, equipment maintenance coordination, and vendor management to ensure smooth office functionality.
  • Perform financial administrative duties, including invoice processing and supporting basic bookkeeping tasks using AutoCount Accounting Software, ensuring timely and accurate financial records.
  • Act as part of the company's customer maintenance team: liaise directly with clients on post-project maintenance matters (e.g. air-conditioning, electrical, plumbing, lighting, and general repair works).
  • Coordinate service providers/contractors, follow up on repair works, and ensure maintenance requests are resolved promptly to meet client expectations.
  • Prepare and manage project-related documents, such as quotations, invoices, purchase orders, purchase invoices, delivery orders, and reports, ensuring accuracy and compliance with company standards.
  • Act as a key liaison between internal teams and external stakeholders, providing professional customer service and resolving inquiries or issues effectively.
