Administrative Executive

Job Description

We are seeking a proactive and detail-oriented Administrative Executive to join our growing team. The ideal candidate is organised, resourceful, and able to multitask in a fast-paced environment. You will play a key role in supporting daily business operations, coordinating office activities, and providing administrative support across departments.

Key Responsibilities



Office & Administrative Support



Manage day-to-day office operations and administrative tasks Maintain proper filing, records, and documentation Assist with procurement, office supplies, and vendor coordination Handle company correspondence, phone calls, courier services, and scheduling

Finance & Documentation Assistance



Support finance team in invoice processing, payment follow-up, and basic accounting tasks Assist in preparing quotations, purchase orders, and delivery orders Ensure timely submission of claims, forms, and related documents

HR & Internal Coordination



Assist in onboarding new employees and maintaining HR documentation Coordinate meetings, internal events, and travel arrangements Maintain office calendar and support departmental scheduling

Marketing Support



Assist marketing team with event coordination, workshop logistics, and customer engagement activities Help prepare marketing materials, reports, and presentations Support social media content scheduling, posting, and admin tasks Coordinate photography/videography arrangements and maintain marketing asset library

Requirements



Diploma/Degree in Business Administration, Marketing, or related field Minimum 1-2 years administrative experience preferred Strong command of English and Bahasa Malaysia; Chinese language an advantage Proficient in Microsoft Office / Google Workspace Detail-oriented with strong organizational and multitasking abilities Good communication and interpersonal skills Ability to work independently and handle confidential information
